We asked business professionals to review the solutions they use.
Here are some excerpts of what they said:
Pros
"This solution is easier and faster to use compared to Jira. It's not very structured and you can add sub-tasks and issues easily.""The ability to build subtasks and break things down off of our major tasks has been very valuable. It is very stable and extremely scalable. The initial setup is very simple.""The solution appears to be quite stable.""The tool has a lot of integrations.""Asana has significantly reduced the number of emails we exchange because we can access the project directly. It organizes all the tasks related to each project, assigns them to staff with due dates, and tracks progress.""The initial setup was straightforward.""I really enjoy the portfolios in Asana. One of the ways Asana stands out to me is with portfolios. You can have all your different projects, and you can have those assigned to different teams. If you want to customize a grouping of projects, you can use portfolios. For instance, one of the things that we do is we can assign a portfolio to a specific strategic objective we have, and we can put all those projects that are related to that strategic objective in that portfolio. We then know exactly what people are working on to help us achieve our goals. So, I really like portfolios.""The most valuable feature of Asana is the ease of navigation."

"The most valuable features of Smartsheet are its collaboration tools, the ability to centralize and prioritize projects, and robust reporting capabilities.""The ability to build a quick dashboard and give management insight into the progress of the project itself is probably one of the most beneficial pieces.""We like Smartsheet's workflows, automation, and low-code capabilities. I don't know of any other project management tool with low-code functionality designed for project managers.""The management aspect is the most valuable. You can also prioritize tasks and then view tasks by priorities as passports.""It operates as an enhanced and versatile version of Excel, offering a wide range of capabilities that allow you to accomplish various tasks and operations.""The product is easy to use.""Smartsheet is easy to use.""It is my favorite project management tool. The reason for that is that it is very flexible. It is much easier to use than Microsoft Project in terms of creating custom fields. It is very similar to Excel. So, people understand it, which makes it a little bit easier to use for most users."

Cons
"The calendar view in Asana has shortcomings and can be improved.""On the development side for technical project management, Asana is missing features. We only use it for discussing tasks and strategies, and we use it for customer to-do lists. It doesn't have the source code integration that Jira and Jira Service Desk both have.""Their workflows and automation could use a big improvement. I don't even know if they have anything in that regard right now. I would really love to see a way where you can send custom alerts based on a task's completion or status change or an approval coming through. I would love to see a way to get some low-code functionality into Asana because right now, that is a big miss.""For large teams, scalability should be improved.""The mobile application of Asana has to be improved a lot because no one wants to do a complete project management task on mobile.""Auto-shift is an essential feature for planning, but it's currently not there. It should have this feature so that when you move a task that depends on another task, the dates should be auto-shifted. For example, you have two tasks dependent on each other. When the parent task is moved or delayed, the child task should also be delayed, and the date should be shifted. When we have a very long timeline, it's very complex to go task by task and shift the dates on the task. Auto-shift is a fantastic and basic feature of project management, and having such a feature in Asana would make our lives much easier. If Asana added this feature, it would complete the suit and close the project management cycle because currently, there is a gap.""We have not used Asana on our private server. We have been using the cloud solution. We need an on premise solution for government agencies.""The messaging feature could be better."

More Asana Cons →

"An area for improvement in Smartsheet is that if you're in the government or you're a regulated customer, you're not allowed to use APIs due to internal restrictions, so there are specific things that you cannot connect to it. Another area for improvement in the solution is that because there's a capacity of how many records you can have, and there's a capacity of how many functions you can apply, Smartsheet has set up their system where they can force people into purchasing a $20,000 additional module that is called Control Center, that will create documents for them on the fly, so they don't use so many functions and automation. Smartsheet also needs to improve on training, because the training that is out there is very little. The solution requires a steeper learning curve. You have to do your own training and you have to work on your own solution.""The main challenge with Smartsheet is that when you start putting components on the Smartsheet dashboard, they don't know about each other. So, if I filter something in one widget, or if I click on a region or a project ID, the other widget or component and the visualization that's on that dashboard don't change. It doesn't know about the other component.""We have to manually put in every dependency in Smartsheet.""It would be beneficial to enhance user-friendliness and make it less complex while maintaining its overall excellence as a product.""The integration with Microsoft products should be improved.""Areas for improvement in Smartsheet include better integration capabilities with other technologies through APIs and addressing limitations in reporting functionalities.""Maybe the solution could be a little bit more flexible.""You were forced to create a new tab rather than add another sheet."

Pricing and Cost Advice
  • "The price of this solution makes it quite accessible, and the plans fit my budget."
  • "Asana has two different types of structures: company vs workspace. Company is really best if all the users you plan to assign work to are all internal (have the same corporate domain in their user ID email address). Once one person signs up (even for a free account) with a corporate email address, Asana will automatically relate that person to that company, if it already exists. If you plan to use it for external collaboration as well as internal, then creating a workspace is a better approach."
  • "It has a free version."
  • "There is a free version of Asana, but we use the paid version to receive all the features we want. The overall price is reasonable."
  • "Its price is fair. Its licensing cost is cheaper than Microsoft Project. I would rate it a two out of five in terms of pricing."
  • "For what it brings to the table, I think Asana is fairly affordable. I would like to see the portfolio feature in our pricing plan, but other than that, it's definitely pretty good."
  • "We're on the business tier, which is $25 a month if you're on an annual contract. It's $31 if you're on a month-to-month contract. In my experience, there are no hidden costs with Asana. I know Smartsheet has these add-ons that you can buy, which is an additional cost, but Asana doesn't have any add-ons that I know of. When you're trying to scale the product and want to add users, you have to do it in buckets of five. This is also something to consider."
  • "This solution is reasonably priced."
  • More Asana Pricing and Cost Advice →

  • "This licensing is straightforward and they charge per user."
  • "Its licensing is on a yearly basis. I was responsible for negotiating the price with the Smartsheet team, but I don't remember what the price was. Its standard license probably was around 5,000 to 6,000 a year. The enterprise version is significantly more expensive."
  • "Smartsheet only requires licenses for project managers. When we were using Asana, we had to purchase a license for everyone who wanted to access their tasks and use the system. That gets costly fast. It was one of the main reasons we left Asana. As Asana and these other tools scale, they become way more expensive."
  • "There would be more extensive usage if the solution were cheaper. It's really expensive right now, and that's why we provide a few licenses for admins. The rest of them are just users without admin privileges."
  • "I would assume there is a licensing fee. I don't think that it is free."
  • "It is less expensive than Microsoft Project for enterprise or Oracle Primavera by an order of magnitude. If you buy a Microsoft Project license, it's probably $300 or so by itself, whereas Smartsheet is probably less than $50 per head."
  • "For a normal license, like the one I had: I had my own Smartsheet because I wanted to play with it and I didn't want to mess with what I was doing in Verizon, so I paid $200 monthly, and it gave me all the same functionalities, so I could do whatever I wanted for $200. The problem is if you have anyone else working on it or deploying on it, it's $200 a month for every single person who's deployed on it, that's working on it as an owner or an administrator, so owners and administrators are the only ones who can change, edit, and add data to worksheets and columns. Depending on the size of your organization, Smartsheet can be costly. As for implementing its Control Center, Smartsheet forces you to have three people come in: it's a minimum of three people from Smartsheet for three months who will provide you the solutions for the Control Center side, and that's $150 an hour, so it can become very expensive. For my company, not having the Control Center would save on the setup fees and then the $20,000 a year, because the Control Center of Smartsheet is a yearly subscription of $20,000."
  • "Smartsheet has many licensing models. You need to add the package that best suits your requirements. The license is paid per user and it is monthly. The cost was approximately $7 per PC, $15 for professional, and $33 for the enterprise plan."
