Asana Valuable Features

Ian Herzing - PeerSpot reviewer

I really enjoy the portfolios in Asana. One of the ways Asana stands out to me is with portfolios. You can have all your different projects, and you can have those assigned to different teams. If you want to customize a grouping of projects, you can use portfolios. For instance, one of the things that we do is we can assign a portfolio to a specific strategic objective we have, and we can put all those projects that are related to that strategic objective in that portfolio. We then know exactly what people are working on to help us achieve our goals. So, I really like portfolios.

Another piece that I like is the proofing. I like how you can just click on the image in Asana and attach comments to it, and it'll turn into a task. It just makes the proofing process really intuitive, as opposed to using something like Adobe Acrobat or something like that.

One of Asana's differentiators is how easy it is to set up. Another area where Asana is strong is that the information is near real-time, and you don't have to save anything in order for the information to show up. All the information is pretty much real-time. So, if I add a task to somebody's task list, it's going to show up immediately, and they're going to see it. They're going to get a notification about it.

Asana's most valuable aspect is its ability to consolidate all tasks and projects onto a single board, allowing for seamless navigation through timelines from start to finish. Additionally, it enables the inclusion of key stakeholders and provides a private communication channel for discreet discussions. The organizational component of Asana is particularly beneficial, including its coding features.

It’s a great way to communicate plans and progress across the business and is flexible about how much detail I include and how I present it. I especially like the way I can share different perspectives with different people and the flexibility in how I present information.

My team especially loves the Priority Poker feature: making prioritizing cooperation fun and easy, and helping me stick to my strategy and goals. I can modify it to fit my team’s needs and easily extend my process at anytime easily.

The solution's user interface is very good. The solution's alerts and notifications also help a lot. The additional feature of integrations with other tools is also very useful.

Asana is a very simple interface for project managers to figure out, providing all the functions they need. Asana is one interface that contains multiple functions such as object key results (OKRs), time plans, metrics, and risk management. All these functions can help you to easily implement your project from the initiation to the evaluation stage.

When you have access to Asana as a project manager, you will find everything you want inside it. In some cases, if we use alternatives, we have to jump from one program to another and some apps to complete everything. However, Asana is an interface that includes everything you want.

The best feature is how easily you can create rules. You can do it just via point and click. I like how easy it is to use the rules within Asana.

The initial setup was simple.

Asana has a site available where you can check the status and see if it's working or in the middle of downtime still (when downtime happens).

Technical support has been excellent.

Asana allows you to create your own project with sub sections with subtasks that can be assigned. The feature I really love is that you can tag people to notify them that there has been progress on a project as well as add attachments. It is a central depository for everything. It is also really useful that you can add people outside your organization to projects you are working on.

In addition to the Portfolios feature benefits, I find the ability to create custom project templates very useful. Creating projects can be time consuming, especially if they are complex (e.g., many tasks, multiple dependencies, multiple sections, etc.). Even copying a project to reuse it (which is common in a lot of other solutions) can create more work by duplicating unnecessary information. Instead, Asana allows a user to use any project as a template that can be selected when creating a new project. So, I have created base projects for various types of projects with only the tasks that would be completed and then use those as templates.

Asana, despite its compact size, proves to be incredibly valuable. When initiating a project, it offers the ability to generate a personalized form for clients. In this particular context, my clients include the customer success team and solution architects. This feature allows me to provide them with a convenient means to submit their requests, resembling a ticketing system geared towards internal operations. Moreover, it enables efficient allocation within my team. For instance, if a question pertains to customer success, I can assign it to the CSOps manager and the team. Similarly, if it relates to a specific channel, it can be allocated accordingly.

Additionally, Asana allows for allocation across different projects, providing excellent visibility for customers who submit tickets. They can view timelines and prioritize projects, promoting transparency. The system revolves around offering visibility, prioritization of tasks, and effective delegation within the team. Despite its simplicity, it encompasses the creation of project forms with various rules. These rules determine assignments based on request type and submitter, as well as priority levels set by team leaders. Overall, Asana's functionality in this regard is highly advantageous.

The visibility is great. The fact that everybody can see all of the tasks, and all of the comments, is super helpful. If you are tagged inside this task, so it's very easy to see. The interface looks really nice and it's really simple to get around and view everything, especially the items directly related to your work. Task management and distribution are awesome.

It's a very useful tool because it's very easy to follow a path and its progress.

It's easy to open and close cases, and get answers. You can put a time limitation when the task must be done or when another person has to respond.

It's perfect because it's online and all the communications I see on most platforms, so it's very nice.

It's an easy way to communicate.

The solution offers fun easter eggs as you work through it.

The product remembers previously asked questions and can direct you back to them.

The solution overall is very easy to use.

It's better than email because email due to the fact that sometimes you can lose some email. This way everything is much more accessible and searchable.

It is pretty comprehensive when it comes to the different views that it gives you. It gives you a Gantt chart view, calendar view, board view, and list view. It is kind of helpful to have different types of views and see how it views your different tasks. I appreciate being able to do that.

The biggest thing is that it is extremely user friendly. Asana is pretty intuitive. Someone who is not tech-savvy can kind of catch on quickly. It is better than other tools like Smartsheet. Some of the other tools like Microsoft Project and Excel are great tools, but you have to invest a lot of time to learn them, which is not the case with Asana.

Asana launched a dashboard a year ago. What I like the most about Asana is its API integrations because we use a lot of cluttered toolsets in our company since we need to cater to different clients, for which its integration gives us a lot of flexibility. We use Notion for the documentation, whereas we use Asana for the task, and we have written many automation scripts for our benefit.

The subtasks section enables employees in the organization to break and classify tasks for faster implementation and access.

We were able to customize the application interface and set the drop-down menu to accommodate tasks and projects.

Date and time tools ensure that tasks are completed on the set period before deadlines. All the features have the potential capabilities to perform their unique tasks, and we have been happy since we secured this software. The proofreading system ensures that we submit projects that are free from errors and rich in planned text.

This product is versatile for an organization. It has elements that can be useful for my team and me, as it has capabilities that will suit our needs.

By using this software, I have adaptability in my work, and it can improve the production of our company.

The software also promotes a healthy back office management system that will benefit everyone in the company.

Marking projects/events complete as they happen is valuable. The fun animation makes every completed task feel like a win, and it makes using the tool more fun. Very helpful when doing something that is normally tedious.

With regard to project management, the ability for us to track our projects all in one place is very helpful. Transparency makes it easy for everyone to be on the same page.
