We asked business professionals to review the solutions they use.
Here are some excerpts of what they said:
Pros
"One of the valuable features of Datacap is the user experience. One thing that IBM did a few years ago was they standardized all of their ECM products on Content Navigator, including Datacap. If you're an IBM ECM customer you have FileNet, you have Datacap, you have StoredIQ and you have a consistent user experience, user interface.""Both Datacap Studio and Datacap Navigator are great features.""It's a platform, not a configured application, so you can do what you want with it.""Datacap is good at processing unstructured data. You can build up some nice data flows, and it is simple to configure. The tool adopts a low-code approach, but you can do a lot of coding if you want to customize and automate your flows. Datacap also has the flexibility to integrate.""It is highly extensible, which we found to be most valuable. It is a very extensible solution because it is based on configurable rule sets. We were able to amend and adjust the solution and very easily add custom code and custom components. It does require some programming experience, but we found that not to be an issue. We liked its extensibility.""The feedback from our clients that this solution has increased their efficiency and their turnaround time on opening any account for end users, thus attracting more customers.""The installation of the solution is very simple.""The standout feature of this intelligent product is its remarkable capability."

"One feature I like is that it makes the matrix easy for an unstructured document.""It is user-friendly and has good documentation. It's good for developing communication and has a lot of the APIs needed for this purpose. There aren't a lot of software options available from this time period; this is the only one from 2013 that has this concept of microservices.""The product is really good, and it is easy to use. It comes with multiple integrations. The solution keeps up with the trend of Microsoft Copilot and AI.""Its integration capabilities are valuable. It has low code/no code features. You have to do minimal coding.""Now it has an OCR, optical character recognition, engine where it can extract data from the document.""Kofax TotalAgility is stable.""Kofax TotalAgility is a single package. They provide you with OCR capabilities, BPM capabilities, and case manager features.""Data extraction and auto-classification are great features."

Cons
"Speed of OCR is one issue. It's a challenge because we have customers that have millions and millions of pages that they want this solution to crank through. In order to do that you have to have a large infrastructure in place, and that directly impacts licensing based on the core count.""Reporting and analytics seem to often be something of an afterthought. With Datacap, they've started building out some dashboards, but one thing we hear from our clients a lot is, "Well, gee, we really love reports. What Datacap has is not really helpful. We'd like something better. We'd like more dashboards." That's one area where we've seen some feedback that the product could do better.""Datacap's technology seems a little behind the industry. It's still using the old .NET framework. They should move to .NET Core and start integrating some machine learning. You can do some integration yourself, but you expect a solution to include the latest machine-learning approaches if you're paying reasonable money for it.""It can take some time to implement.""I would like to see integration of Watson AI technology into Datacap.""Currently, when you are entering invoices, you have to enter multiple rows. In Captiva the multiple rows will be dynamically added. This would be a beneficial feature for IBM to add.""The user interfaces for exception processing can be tweaked. I commonly find that we try to tweak and customize some of those components to more of what the industry standard is. The product is still trying to play catch-up a little bit in those areas.""Its weaknesses are primarily tied to the lack of available resources and expertise in the market to effectively support and provide solutions and services to each customer for seamless implementation. Expertise in this specific product is rare throughout the market. One key reason is the product's limited downloads. Additionally, archiving solutions are often perceived as complex and challenging, dissuading many companies from venturing into this domain. Consequently, partners who specialize in archiving solutions are always seeking straightforward, uncomplicated options that are easy to manage and meet customer expectations."

More IBM Datacap Cons →

"TotalAgility needs to improve communication with ECMs or other file storage systems because TotalAgility does not have file storage. A good improvement would be to create file storage or integrate with other file storage tools that are currently available.""Table line item extraction is not possible through Quick Capture.""It’s not truly low code yet, as every two or three projects, you will have a situation where you have to go behind the essential things. You will definitely still need to customize.""Room for improvement would be better OCR functionality in terms of Arabic OCR. There should be better accuracy.""Kofax needs to improve the low-code or citizen developers.""Kofax TotalAgility is quite vast and complex as a product. We came from Kofax Capture and Kofax Transformation, then we started learning Kofax TotalAgility, so there are a lot of things that were quite straightforward in the Kofax Capture and Kofax Transformation cross-motion modules, but to do those in Kofax TotalAgility was a bit more complex or quite long-winded and could be improved. In the next release of Kofax TotalAgility, it would be good to have a straightforward low-code or no-code process because there were instances we struggled with having to put logic into a script or a .NET script, then calling that script, instead of the process being low-code, no-code.""The pricing for Kofax TotalAgility could be more attractive, particularly the cloud version of the solution which was offered to my company. This is its area for improvement.""Kofax TotalAgility could improve the OTR engine. The page OTR engine is not accurate in predicting the data properly. If you provide many features which are good for business process management without an accurate OTR engine people will not want it."

Pricing and Cost Advice
  • "Pricing needs to stay competitive."
  • "You save a lot of time and money, but the benefit is you have people who are able to run the systems, check to see if there are any errors at all, and there are a lot less errors than a human system."
  • "Pricing depends on how much we use it. We pay per bulk quantity. We pay as you go. Therefore, it sort of depends on our usage of it."
  • "We were using the User Value Unit licensing, which means we get charged per active user of the system, and if I'm not mistaken, we also had it for the rule runner service. They had a PVU license model, which is a processor value unit. For each process that we have in our system, we pay a certain amount of money. We found the pricing to be quite steep. It was really an expensive solution in comparison to Kofax, which had a different licensing model and was actually cheaper overall because they charge per page and not per user and per process."
  • "If you want IBM Datacap on cloud, which is a service run by IBM, the price can be quite expensive, but if you want to just purchase the licenses and own those yourself, then the price is very competitive."
  • "It varies, and it depends on the client's requirements and negotiations. Nowadays, Datacap is also included in the IBM Cloud Pak for Business Automation."
  • "In Egypt, we have exchange rates that change year to year, and currently, we're facing an increase in the exchange rate between our Egyptian pound and the dollar. Since we have been using IBM DataCap two years ago we had a good price, it was not expensive. However, I cannot say now if it is expensive or not because of the exchange rate. Additionally, I don't have the data of other competitors and I don't know the prices."
  • "IBM could offer more competitive pricing. This would allow them to attain more users. Some of our clients are considering moving to a different solution called Encapture which is similar but offers more competitive pricing."

  • "The licensing cost for Kofax TotalAgility is very expensive, though I'm unable to give you the range, the sales representatives of my company say that the product is quite expensive."
  • "It is slightly more expensive than other tools."
  • "Kofax TotalAgility is very expensive."
  • "It has a perpetual license. You pay once in a lifetime for the volume of scans you will do and the number of users you will have. You can have participants or regular users, and you can have developers and administrators. So, once you purchase it, it is for a lifetime, and then every year, you have to pay for the maintenance. There is an annual maintenance cost, which is about 18% of the licensing cost."
  • "The price of this solution is less than some of the competition."
