Time Entry, Resource Allocation & Dashboards Are Valuable But Memory Management And Responsiveness Can Be Improved

The most valuable features are the project, resource, and portfolio management processes are combined in one solution. The data is possible to use either in the one or the other process, and we do not need to enter the data multiple times.
The competency and available support are quite good, therefore we do not have any issues with support. Every time that we have a case where we need support, it is clarified right away.

Having the ability to create dashboards in PPM Pro on the reporting flexibility for our leadership. Behind that rigor, you have to report out, and I love that part of the tool. It's really easy. It's a lot easier than it was in the past to build reports. Having that flexibility to build several reports, then create a dashboard and publish that on a regular basis to our leadership team is a very valuable and saves a lot of time. That's one of the best features for me as a PMO leader. That time savings means a lot, so I only have to concentrate on it once a month. Looking at the dashboard rather than having to be in there every single day, because I know when I'm making updates, that's going to roll up to my dashboard.

In my current company, it provides a quicker ramp up to understand what it can do for people by taking away all their barriers to entry: time, managing resources, and linking projects.
The most valuable feature of this solution is that my team can use one tool that's reliable, scalable, and provides the leadership team visibility to what's going on.
It is flexible, because so far we haven't been able to figure out anything that it cannot do. It's highly configurable. We've added custom field design screens to fit our needs, develop reports, and dashboards that give us the ability to deliver much better information, especially to senior IT management.
Flexibility is the most valuable feature of the solution. We're able to do a lot of integrations with ConnectWise, which is another IT services tool that we use. So, we can integrate with that, and it's pretty flexible. We just went live a couple of weeks ago, but already we're able to bring visibility into our resource utilization and project status with clients.
It has helped us make good decisions in terms of what projects to take or how to prioritize projects when we have multiple directors from the business or product. It has definitely helped us prioritize and work on our critical things.
Time tracking, portfolio management reporting, and what-if analysis create visibility into project planning, resource capacity, and demand planning.
It would be good for them to work on the user interface to make it more interactive.
I wish patches would be quicker since we're a SaaS customer, and just be a non-event, so we don't have to go through a whole - essentially - upgrade cycle, just to do a patch. As a SaaS customer, I'd like the patch to just happen.
When we upgraded to 15.1, we had some challenges around Jaspersoft, and also some issues with supporting some of the complex process work flows that we had designed internally, that were affected by some changes in the process engine.

The look and the feel of 14.4 is a bit antiquated.
The Work Breakdown Structure in the Tasks: I should be able to drag and drop to a level three instead of just stuck at level two.
The classic UI is very cumbersome. It can do everything but it's hard to use. It's easy to use once you understand it, but it's intimidating at first for somebody to see the solution.
I think there's still a little bit of opportunity that we can do some stuff better in relation to the financial part of it; just that easier integration, that look and feel. Our project managers, and obviously finance people, love to interface and use of Excel. The more we can get CA PPM to behave in a similar way, which we're already starting to gain in that path, will be absolutely fantastic.
The only thing that JIRA doesn't for us is release management in a way that I can create a list of versions easily.
My main concern is the administration of projects, especially user groups, and this requires root access rights but there is no concept of layered admin rights.
Backlog pruning and visualization are poor.
The permissions can be challenging to get right.
The reporting needs to be improved.
This solution would be improved with the inclusion of integration with SVN, and auto-sync with the build release number.
The hierarchy for Jira tickets is too flat.
It would be very useful to have drag and drop time tracking.
I would like to be able to promote from the sandbox into production any changes, otherwise you're redoing all of your work.
This solution does not work well as a task management system because it is very difficult to expand beyond just the basic tasks, and this would be a worthwhile area for improvement.
I would like to see integration with third-party applications, like the JIRA, Microsoft Project, and financial applications.
Integrating with other tools should be easier and more straightforward.
Connecting funding and strategic outcomes with work execution is a challenge right now for us. Part of what we are facing is we have a couple of drivers of where projects are coming from. One of them is our innovation group. They are just sort of tangentially using PPM Pro for recording the status of projects and not really planning them within there. We need a stronger link between our current financial reporting system and Planview PPM Pro, so we can start to more easily record our external costs in the tool.
The biggest things are the status notes and internal notes. They have made some great improvements these past couple of weeks, but they are still lacking a bit. There are still a little kludgy. It just needs to be a bit more straightforward with notes, copying and pasting. They've made huge improvements, but it still could do some work. E.g., for some reason, the formatting is still looking a little bit weird on selecting different fonts.
We don't use their existing dashboard functionality. Hopefully, with the new reporting release that is coming out in November, we will be able to evaluate as to how we can leverage that. What I hear, "Everyone has either a Tableau or something else because Planview doesn't provide a dashboard." We should not need to use another tool. Planview has the data, so it should be able to give us what we want. This would also reduce costs since we are paying licenses for those tools too.
The initial setup was a little complex. There is so much to customize. It'd be good to have some templates out-of-the-box.
Pricing and Cost Advice
We're also moving to the latest version for less than $20,000 for a major corporate system. It's just amazing.
It is hard for them to say, "I have a person on my team who is going to be available, I am going to move that task to them". That requires a project management license, it doesn't require a team member license, so the licensing model does not sometimes support the way the business world is going.
To try this solution, use their cloud offering to get familiar. After that, it's in my view worth the money.
Licensing is on a monthly basis, and it is based on what you use.
We feel that the product is a good value for the cost.
I understand JIRA is quite expensive.
It does not cost that much.
Almost everybody uses JIRA nowadays because it is the most cost-effective solution.
We have about 50 PPM Pro user licenses, so 50 team licenses. We have eight stakeholder licenses and 10 full user resource manager licenses in PPM Pro. We also have 60 Projectplace licenses. That runs us about $37,000 to $38,000 annually.
The team users are about $480 per user, per year. The full user licenses are $900 or $950 per user, per year. The stakeholder licenses were $60 per user, per year. We don't have any requests users, but we have not instituted our intake process yet. However, I think request users don't cost an additional license.
Because we have PPM Pro with Project place, we transitioned to the Flex model.
We have their Flex plan.
The cost was in line.
$6 million has been the return on investment so far, and that was because of work intake. Now that we are scrutinizing the work intake and asking questions like, "Is there an alternative to your $10 million project?" We had one project come in for $10 million, scrutinize it through our gate review process, and wound up with the alternative, which was $3.8 million. So, a $6 million savings.
