OpenText Documentum Other Advice

The product's security is top-class. It is very secure in terms of the level of access we can work with. The underlying encryption is pretty strong. It's very difficult to break in. We use Capital Projects for asset management. The industry-specific flavors of the solution reduce the time to deploy because most of the use cases are already thought through. Otherwise, we would have had to develop or customize the product to meet our requirements. The product gives an extra edge for a faster time to market.

We use Documentum's integration points with leading business applications for our customers. We have integrated the tool with Microsoft 365, SAP, and Salesforce. The integration of Documentum with leading business applications is quite critical for us. Users have various avenues to work with documents and collaborate. If we don't have integration, the users will have to work with silos, and there will be a lot of content duplication. The productivity will go for a toss, and we'll have multiple versions of the truth, which will be very inconvenient.

The configurability of Documentum is pretty good, especially with D2. It's very configurable. It leads to less customization. Documentum has helped boost productivity within our organization. How we implement the solution is also important. The product brings in at least a 30% improvement in productivity.

Documentum has certainly helped simplify and accelerate our modernization journey. There was a case in a bank where all the documents were stored in a network drive, and everyone needed to know where the document was. With Documentum, the same document was made available to everyone with a click of a button. Finding documents with metadata and version management is very easy. Teams are able to integrate and collaborate better with Microsoft 365 and Salesforce easily.

Overall, I rate the solution a nine out of ten.

Overall, I would rate this solution a seven out of ten.

Our old software was a bit better. Our old software was designed specifically for our requirements. It incorporated all our needs and attributes perfectly. OpenText, on the other hand, is a more generic solution, and it doesn't cater to our specific needs as well.

I think security's been pretty good with OpenText Documentum.

Currently, we are on an older product, and we are about to start a migration. I think the configurability should be much more improved with that.

OpenText Documentum has helped boost productivity within our organization. By automating a lot of business processes with workflows, we've been able to improve productivity.

OpenText Documentum has definitely helped simplify or accelerate our modernization journey.

Overall, I rate OpenText Documentum a seven out of ten.

It is important to note that it follows a strategic approach of releasing updates incrementally every quarter, rather than providing a complete package all at once. It offers support for hostless SQL using an OpenText open-source database, which is known for its lightweight and efficient nature. Overall, I would rate it eight out of ten.

OpenText Documentum's security protection is awesome.

We use OpenText Documentum's integration points with the leading business application, Salesforce.

The integration of OpenText Documentum with Salesforce is very important to make sure we have it all in one place, and it's all synced.

It would be nice if the configurability of OpenText Documentum were faster, but it is good overall.

OpenText Documentum has helped boost productivity within our organization. Earlier, we had to track each person down to ensure they had the most recent document, which was time-consuming for HR. The solution has ensured that whatever we have is the most recent version, and that's what we have to worry about.

It has helped boost our productivity by 70%.

OpenText Documentum has helped simplify or accelerate our modernization journey by simplifying everything so that we have one place for everyone to work.

Overall, I rate OpenText Documentum a nine out of ten.

Documentum's collaboration tools have significantly improved our project outcomes by streamlining document access and enforcing naming conventions. Users find documents faster and adhere to predefined naming policies, ensuring easier backup and restoration processes. Proper indexing enhances document organization and retrieval, contributing to overall project efficiency and compliance with company policies.

We have faced significant challenges integrating Documentum with other systems, particularly ERP systems. To overcome this, we have initially kept Documentum as a standalone solution, avoiding complex integrations. We focus on simple drag-and-drop functionalities for document management. While we plan to integrate with ERP systems in the future, for now, we prioritize simplicity and stability.

Overall, I would rate OpenText Documentum as a seven out of ten.

Content management and delivery at a financial services firm with 10,001+ employees

We encountered challenges in the limitation of design and flexibility. High-volume delivery was also a bottleneck for us. Hence, we moved to OpenText Documentum.

We ran the product on in-house and on-prem servers, which were secure. We never ran it on OpenText Documentum's server.

The solution is on par with any company maintaining security. I believe they will own up to the risks if anything goes wrong.

I have used SmartCOMM, which has OpenText Documentum's similar features. SmartCOMM has a seamless interface, and OpenText Documentum can replicate it.

I rate the product a five out of ten.

As an insurance company, we need to store data securely and properly. It has to be retrieved, maintaining the SLAs as and when required.

I have a good understanding of OpenText Documentum's security in the on-premise version. ACL is pretty secure. We know the way infrastructure is being deployed.

We use Webtop, but it is a discontinued product. We are on extended support.

The configuration is easy. The solution has boosted our productivity. We have been using it for nine years and know how it works. We know how to move a solution to the marketplace easily.

I rate it a nine out of ten.

Documentum offers robust security features, meeting high-level security standards like ACL. It implements server-level security and user permissions based on groups and access controls. SSL encryption is available for content servers and Docbroker, ensuring secure data transmission. Site management features provide additional control over documents beyond the repository.

We have integrated Documentum with various applications such as SAP HANA, LMS systems like SuccessFactors, and in-house applications for efficient document management and cost-saving measures.

Documentum's configurability has greatly improved, allowing for faster deployment of solutions to users. Previously, it took around 15 to 16 days to develop a single screen, but now, with enhanced configurability, it can be done within a sprint, typically in 15 days. This flexibility extends even to advanced capabilities, making Documentum, especially D2, a highly adaptable and efficient solution.

Documentum has significantly increased productivity within our company by consolidating records previously stored across multiple rooms into one centralized system.

Documentum has contributed to the simplification of our modernization journey, although the acceleration aspect depends on certain limitations and feature utilization. We are making the most of the available features to drive our modernization efforts.

New users of Documentum should ensure they have experienced guides involved in the project, including those with expertise in Java, DFC, DFS, and OpenText server fundamentals. This preparation will ensure a smoother transition and effective utilization of Documentum's features.

Overall, I would rate OpenText Documentum as an eight out of ten.

I rate Documentum eight out of 10. If you are planning to implement Documentum, I suggest checking to see if OpenText has any pre-built customizations that match your use case. I don't recommend trying to customize yourself with xCP or AppWorks

The architecture of Documentum is outstanding compared to other solutions like FileNet and Alfresco. However, IBM's revamp of FileNet to reposition it might make a difference. They have a complete bundle now for Digital Business Automation (DBA). All types of tasks, content management, data capture, and workflow automation solutions are already bundled out of the box and integrated.

People should be aware that the learning curve is steep. It's best to have an expert carry out the architecture and configuration implementation because it contains lots of modules, so it needs expertise.

I would rate this product an eight out of 10.

We are not using all of the features but from what we do use, I think that this is a good product. It is secure, we can store all of our documents in a central location, and we don't have any plans to change.

I would rate this solution an eight out of ten.

Stick to the core (Content Server, DFC)! I don't want to say WDK because Dell EMC is/was always saying it was going to end it. Otherwise, it was something to consider.
Dell EMC made DFS, which was a logical approach. But for several users (like myself), if you design web services by yourself using plain DFC, you’ll get better web services and it's not that complicated. Of course, you're not going to provide all the functionality DFS provides, but you won't need it.

Make it simple when possible! When you need something more complex regarding specific functionality or great performance, consider custom development. Don't assume that because Documentum has a feature addressing what you want to do, you should use it. Do the pros and cons first.

You would want to block the generic interfaces and customize your solution, unless:

  • Your solution needs to manage only a few documents.
  • Your users are IT people that understand what they should or should not do with an interface as generic as Webtop or CenterStage.
  • You use DFS services without being very careful (performance-wise, for example).

They should improve the licensing model. We can't get to a license agreement, they recommend a certain license but I don't think we need everything. The licensing model should be more clear.
