Microsoft Teams Room for Improvement

The weekly project status update has transitioned into instant reporting. We now have two communication channels: online broadcasting and recording for those who are absent. Advanced instant messaging has expanded its capabilities to connect people worldwide and truly reflects the forward movement of technology.

The future scalability can include the integration of planners, project management tools, SharePoint, and more applications that are used. This capability is determined by its impact on project planning, questionnaires, surveys, and to-do lists

The product should improve its security aspect, scalability, stability, and screen recording. It would be nice if Teams could come up with a feature where I can write chats and send them as mail. It would be also good if Teams could be connected to our application software so that for any doubts that can occur during the training, the operator can resolve them through chats. Hence, they can easily guide and close the issue.

Sometimes the transcript is a bit literal, it doesn't interpret the voice, and the text that comes out is a bit nonsensical. It would be good if the solution had some sort of AI built into it while taking the transcript so that at least the sentences made sense. It puts rubbish words in them, but just a bit of AI could solve that.

Video calling is already there, so that's not an issue. The only thing that can be improved is that when you are talking one on one, there is no recording facility. Maybe it's the company that stopped it. If it's a group chat, then we can record the session, but we cannot record a one on one session. In short, we are not able to record one on one calls.

The interface must be improved to reflect the true face of Office 365. External user visibility must be available in the next releases of Microsoft Teams.

User activity logs must be available along with more task management capabilities.

Microsoft Teams is able to translate slides into multiple languages. It also is able to transcribe audio from multiple languages. It would be beneficial if it could also take the transcription in one language and translate it into another. It may not be great since the source is audio. However, it would be helpful in a situation when professional translation services are not available.

We encountered occasional outages, which occurred a couple of times last year while using the product. These disruptions, affecting various Microsoft products including Word, Excel, PowerPoint, SharePoint, Outlook, and Teams, might have been attributed to server issues on Microsoft's end.

There could be a feature allowing users to respond to specific messages or comments within a group chat. They could support GIFs and emojis similar to the features available in Slack. Currently, Teams has limitations in its built-in applications has some limitations. There could be an option to gather and customize the emojis and GIFs from the internet.

The tool is perfect for the present. I don't know how to upgrade some features for integration. It is difficult when it comes to integration with other platforms in some organizations. For some small customers, with the features of Microsoft Teams, I am not sure about how to update it. I want feedback about some features from the customers of Microsoft Teams. Improvement-wise, there needs to be a better way to search for a customer such that it gives an indication while being integrated into some other platform, like LinkedIn.

There are two topics I'd like to address regarding Microsoft Teams software. First, it is programmed in Electron, which, in my opinion, makes it sluggish. Improving the performance and reducing high CPU utilization would be a great enhancement.

Secondly, in terms of functionality, I would like to see support for multi-user or multiple windows for the File structure. Currently, this can only be done through the browser, and you need to switch accounts to access different windows. Additionally, better support for working with multiple tenants is an ongoing issue.

Microsoft Teams' application should be very lightweight. If you host a meeting on Microsoft Teams and check your system resources, you will find that the solution consumes approximately 600 to 700 MB of RAM. On the other hand, Zoom hardly uses 50 to 60 MB of RAM. The agent utilization of the resources with Microsoft Teams on the system is very high compared to other platforms giving the same feature.

Adding and integrating more apps like SharePoint on Microsoft Teams is making the solution very slow. Initially, Microsoft Teams was much faster when I worked on it as a user. However, with time, it became so slow that I couldn't use it much and decided to use it on the web. The web version of Microsoft Teams is much faster than the application, and that's the thing. There are multiple forums like SharePoint where you can integrate and store many applications, but storing on Microsoft Teams is making it very, very, very slow.

If the Ms Teams process is closed, the next time a user attempts to open Teams, it takes a while to load. I'm not 100% certain whether system resources have anything to do with this, but in my experience, when the Ms Teams process is already running, Ms Teams loads quicker. If you're using this product in a big corporation with a lot of data to manage, finding something specific can become very complex and the solution can become a little bit quirky. If I'm searching for a file in Teams, I might not find the relevant information right away. I think the search feature could be improved in that regard although any platform might have issues when dealing with masses of data. It's a management challenge when you're dealing with that amount of data.

I'd like to see better ways of managing data, perhaps create a life cycle, possibilities for deletion or archiving. So, at this point we don't have, there is a way to do that, but it's it's really complex to do. There's a way to do it now but it's very complex.

What would really help is extending the time that you're active on the mobile device because I can't find a way in Teams to restart the app automatically. For instance, in Teams, we use it as an organization for instant messaging and for text messaging. The problem is if I restart my mobile device, I have to remember to restart Teams in order to get the text messages on my device. It's not automatic.

The solution should standardize the options across platforms. What I mean by that is, sometimes, on the mobile, there are not the same options and set up features and functions as are available on the web or on the desktop app. Everything should have the exact same functionality, otherwise, it's difficult if some people are on mobile and others are on desktop.

Because many companies use a variety of tools, the main feature could be to integrate the ability to participate in any meeting regardless of the platform they are using. For example, if you are invited to a Google Meet session, you should be able to join it without the need of having installed the specific client to attend that meeting.

It would be the best opportunity to create an abstract of which online collaboration tools are being used to avoid installing Zoom, Teams, or WebEx. It's currently the best time to try something new; I know it's technically difficult or perhaps impossible, but that should be a good starting point. The user interface needs to be improved. After six months of working with it, I still find the UI a little clunky when it comes to sharing content and moving around between features like the calendar and files. Sometimes, when I'm on a call and somebody asks if I can share a file or a link, I find it clunky to get to where those pieces are. Overall, navigation is a little sticky.

The solution should improve internal and external data expansion. I am not able to send records to an external member who has been added to the call. I am only able to send the file to the internal member. These features should be enabled in that Teams so that during the call, we can share the document file and discuss at the same time.

The call quality could be better sometimes. Microsoft could improve the quality of the backgrounds. File sharing could also be smoother. It takes a lot of clicks to download and copy the links. It should be only one click.

It's also problematic to get people outside the organization into the chat or groups. I can define my own team irrespective of the organizational structure. Still, if I need to work with external partners or colleagues at my company and want them on one team, it's relatively complicated to add external people to the team.

Microsoft Teams could improve because it is heavy on bandwidth. We have some access points and when we have 30 or 40 users on it with Microsoft Teams calls can drop. WebEx does not use as much bandwidth.

When someone joins a meeting we are not able to kick them out.

I didn't know that Teams is part of Office 365, so I think that it should be better advertised with its features and capabilities. It would be helpful for it to be more visible and what the benefits of it are. Documentation on its capabilities and guidelines on its use would also be helpful.

This solution would be improved with more functionality built into the interface. If you compare Teams to Lync, Lync is just a little box in the corner and it pops up and alerts you if someone is trying to contact you. With teams, you have to physically go in and look to see what is going on. The interface could be improved so that we don't have to manually check for things such as who is online.

I have faced issues with connection. Maybe, it's an issue from my side. The company accounts in Teams has some issues as well. I could not establish calls with certain domains, and then the product asked me to buy a professional account. The problem with Teams is that they are split between professional or company accounts and personal accounts. It's not very clear how you can go from one to another. That's the main issue with teams.

The UI can be further improved upon. When I used to use Skype, Skype was a small window that opened on your desktop. With Teams, when you use it, it occupies your full screen just like if you were in Word or Excel. Skype worked more like an app, which I preferred. I liked being able to use it in a minimized screen. If Teams could emulate that a bit, it would be a better user experience.

When we share the screen, we can't actually take control of the user's screen. When I'm trying to do some activity for another person or want to change something for them, it's not possible. In a technical way, I would like to take control of a system where I'm seeing the screen and I want to do some changes, while we are discussing things during meetings.

There's one thing that I was disappointed in when I was trying to invite my whole team to a meeting. I had to type the team members versus being able to set up a team's group of names as you can do with Outlook. It would be nice if you could take the ones that dial in with their phone numbers and it had some type of translation. The idea is to get the name of the person dialing in. I don't know if they can get tricky and pick up a name that's associated with that number or prompt the user as they do on Skype.

I'm really waiting for the release of Lists to be included. Lists is a new feature that will probably come into Teams in August. It will be a way of using some sort of database to enter interlinked lists.

I don't like the online version of Word and Excel. It skews the layout. It is no longer representative of the layout that you actually have in a document. You always have to open it in the desktop application to get an accurate representation of how the document will look.

If you open a document in Teams, it opens online first. If you have, for instance, an entire image on the front page, that image is descaled to the right and to the bottom. So you have a lot of white space on the page, while in reality, it's pretty nicely aligned. You basically have a borderless page. That's one of the main things that they can improve on. If they had a workaround where you can open it in the desktop apps first, it would be better.

The solution needs to adjust the number of protected channels within a team.

The solution should maybe include breakout rooms within a team meeting. For example, let's say you are with 10 people, within one meeting space. You can have three accounts in separate smaller "meeting rooms" with just two or three people accessing them and still be within the same larger meeting environment. Let's say if you have a team where you have some technical members, some solution architects, a bid manager, a capture manager, an account manager, etc., you should be able to break up a meeting into multiple smaller sessions on certain topics, and yet still stay within the same meeting space.

They should include a visual application also within Teams, so drawings that are made can attach to that space within the proposal with the ability to add Word or Excel files, as well as tasks, etc.

I would like to see some improvement in the file hierarchy and team hierarchy. Right now it's not as powerful as when using SharePoint for files. They could develop more complex hierarchies for files and teams. I think there could also be improvement at the authorization level, who can see what and things like that. It's not that easy to work with.

I think the idea of authorization could be included as an additional feature. In addition the video conferencing is not as good as Zoom, which is a more powerful solution. Zoom provides the ability to see many people on the same screen and to break out into different virtual rooms. Those are a couple of features that Teams could implement.

There is nothing that annoys me at the moment but perhaps the layout can be improved. In my experience working with Microsoft tools, they continuously work on usability. There are a few minor issues when scheduling meetings, and that is that some of the descriptions are really long. And there seems to be very little control over what a user could control in terms of the texts that appear. An invitation, for example, can look very complicated. So I would say that Microsoft Team invitations from the calendar within the solution could be improved.

One of the issues we have is that sometimes when you're trying to share your screen the solution crashes. The problem occurs quite frequently and it's an issue across multiple users. It's been reported to technical support but there seems to be some bug there. That should really be improved. I haven't experienced any other difficulties.

I'd like to have the ability to increase the number of participants in a meeting as an additional feature. For now, you can only see a maximum of nine people in a single screen. I believe that Zoom enables the ability to see 20 plus people during video conferencing. I'd also like to see a screen sharing option which would include sharing of videos.

There's definitely room for improvement.

With respect to security, there needs to be more work done. I was surprised, for example, yesterday, when my daughter was able to use my Microsoft Teams interface for her schoolwork. I was surprised that they could do that, because I believe it was only for my own personal use.

In order to avoid others using it, it needs a password of its own. I don't know how to do that. Maybe Microsoft can make it so that there is a provision for multi-users on a particular system.

I've heard that hackers are beginning to jump on meetings like they were on Zoom previously. This needs to be addressed immediately.

I would like to be able to see a larger number of participants in the gallery view, that would improve the product. I think the ability to integrate with other team's scheduling, for example, with people outside the organization would be a good feature. For example, most of our business partners work for Dell and EMC and they also use Teams. It would be great if we could pop on a video conference with them where screens were shared and we could at least see information on each other's calendars or some sort of external scheduling feature.

One of the places where this product can improve is in file sharing. Using the Planner, it should be easier to link to external files. As the product is set up now, you are obliged to use links to files that will be stored in SharePoint. You cannot integrate files in a node. One of the reasons why we prefer using Trello at this point is because you can add links to the files on each card (project) as you want. It is more open and less limited.

The possibility to attach any kind of content to any card created in Planner is the reason why we didn't stop using Trello completely. With Teams, the constraint regarding the files means we have to separately log on SharePoint and to upload files on to OneDrive to share them. The added complexity means we are losing time over something that should be easier. If this feature could be enhanced so file attachment is easy, I think I would prefer to use Teams instead of Trello.

One functionality that could add value to the product would be better logging of histories. For example, when you've got a conference call and you're using Teams, it would be useful to have a record of the participants in the call. If you have a conference call where there are five participants, the product should be able to record this information as a history of the project without having to ask separately for introductions. Currently, the product is not able to track this information and it doesn't seem that Teams offers the possibility to track the history of the calls that have been completed.

Another feature that would be useful is the ability to create a VCF (Virtual Contact File) directly from an appointment, through the calendar, or through a phone call. It could be great if you just could right-click on the name of the contact and create a VCF file. Later, you will be able to import the contact into Outlook, for example. It could be a very useful time-saver.

When it comes to downloading several documents or sharing documents that are above 450 KB, it takes time. It's a bit slow, especially if you are downloading photos.

There could be more documentation when it comes to the setup when you have other software. It's an annex, it's additional support, not something that the software provides when it's not something that comes with other products that can be connected to it.
