OpenText Documentum Valuable Features

Sunil Mudambi - PeerSpot reviewer
Managing director at 3 Cubed Business Consulting Pte Ltd

It's a great enterprise content management product. Our customers love the product for its stability and scalability. Search is the most useful feature of the solution. The way we retrieve documents is more important than how we store them. There's no use if we can't find a document. It's the most critical feature.

My organization works with other customers. We are consultants for OpenText. Our customers have seen a lot of benefits in terms of regulatory compliance. Industries like banking are highly regulated. The product captures the information centrally so everybody in the bank can see the right information at the right time. It is tamper-proof and enables us to return to the document source, which is helpful with legal issues.

Documentum Security Protection is quite nice. Our main business involves hosting Syngenta data. We operate in the agricultural sector, and numerous scientists work across various continents conducting research.

When they analyze something, we host the resulting raw files and other data. We store these files in a central location and provide access to them using this software. So, it's a crucial aspect of our operations.

It provides extensive accessibility to our content, and it's a vital component in our work processes. We've gained access to a plethora of applications through OpenText, which enables us to enhance our services for customers.

One notable example is the integration with Xfinity ECM, a solution that seamlessly integrates with SAP. For instance, when someone working with SAP needs to access a specific invoice document, SAP itself doesn't store these documents, instead, the content related to the invoice number seamlessly flows through Documentum.

It offers robust security features and it allows to leverage a variety of plugins from OpenText to enhance security. For example, there are plugins like Trusted Content Services that allow you to encrypt entire documents for added security, though it's essential to be aware that this might impact performance.

It is a highly potent content management tool. It stands out for its impressive records management capabilities and the ability to handle an extensive volume of documents, even reaching into the billions.

It is very comprehensive in terms of security protection. It is a very secure system. It is reliable, and that is one of the reasons people manage their content within Documentum. It gives them the confidence that the content is accessible to the right people and not to the wrong people.

Two things are excellent in Documentum. One is business process management. The other is its support for metadata. You can add metadata to just about any file. The metadata helps you retrieve and manage all the documents in your databases, including your multimedia files.

The most valuable feature of Documentum for our content management needs is its ability to segregate access based on department and role. This ensures that users only have access to the documents they need for their specific tasks, maintaining confidentiality and compliance with company policies.

The most valuable feature is that it's a central repository for everything, whether it's videos, documents, Excel sheets, etc. Building on top of the document platform means business applications can share and integrate with this repository. Although everyone has their own local disk with many documents these days, there's a need to have one single repository, one source of truth so you know you have the latest version, including comments, earlier versions, approvals, history, audit trail, etc., everything related to that document management platform.

In terms of sub-products/components, the most valuable features are definitely Content Server and DFC. The core components are the most valuable and trusted ones. These components help us make a solution that can manage documents and their metadata providing features such as permissions, auditing, transactions and debugging for when things get strange. Doing this from scratch may be a good option, but using Documentum we may be able to save some time.

WDK is also very useful. It's not the best web framework, but it is an acceptable one for most cases and it's directed for a Documentum solution.

For some users, Webtop can be a good solution. From my experience, a customized version, usually very customized, of Webtop is an optimal solution.
