QuickBase Other Advice

Daniel Ream - PeerSpot reviewer
Director of Estimating at a manufacturing company with 51-200 employees

I would highly recommend working closely with QuickBase and taking advantage of their subcontractors who specialize in building QuickBase apps.

QuickBase does a great job of connecting potential users with these subcontractors.

However, I would also advise tempering expectations and being aware that building and customizing applications in QuickBase takes time.

It is a user-driven platform, so it requires investment and effort to create meaningful solutions.

I would rate QuickBase a ten out of ten.

I believe that if implemented properly, QuickBase can provide immense value to any organization.

It can be used for various purposes such as managing purchase orders, tracking change orders, and monitoring project metrics.

By using QuickBase as a central hub, it becomes a reliable and trustworthy source for project-related information.

This ability to consolidate and organize data makes it an invaluable tool. Moreover, any solution that helps transform information from individual knowledge into a structured database is undoubtedly a worthwhile investment.

The impact of QuickBase's integration capabilities with other tools has been positive. I've successfully integrated it with two to three business applications, and the experience has been quite good. The seamless integration with different applications effectively enhances the in-house features. It is a more modular version of Excel, particularly beneficial for projects requiring collaboration across multiple locations. However, Excel remains a suitable option for teams situated in one location. Considering factors like functionality and price, the product proves to be worth the investment.

It is easy for a beginner to learn to use QuickBase for the first time. The instructions, manuals, and videos provided within the tool are exceptional for learning how to use it. After viewing the videos, users can easily build applications with various features.

I rate it as an eight. There's still room for improvement in the UI. Nevertheless, it is a useful tool. Sometimes, I notice a lag in the software during business hours due to the high volume of data being circulated. It needs to perform optimally. The feature to export data in a required format also has limitations, especially regarding the number of records that can be exported.

If somebody wanted to use QuickBase, and they'd ask me for an opinion, I would tell them that it depends on how big their company is because QuickBase is something that I think large companies should be aware of and have. If you have a smaller company, it is very easy for QuickBase to be overwhelming, and you really can't use it the way it should be used. I think, also, it depends on how many teams there are in a company. We have teams that are out in the field doing polls, and then there are some teams taking care of the IT part of it. So this really centers all of us together. In general, I think it would just depend on how many employees they have to see if this really could work for them.

There are some days that it does lag. At times, I need to get certain information as a project analyst, and I'm able to track down the different employees and send certain information while having to maintain up-to-date information, which is really important. So I think those are just big factors for the rating it gets from me.

Overall, I rate the solution an eight out of ten.

My advice to anyone looking to implement this product is to just sit down with customers and map out the process and the strategy, not only for the short term but also for the long term. From there, they should do a gap analysis in terms of where they are and where they are trying to go. It can definitely get them where they need to be. That's a part of working with a solution like this.

I would rate this solution a six out of ten.

Talk with a QSP (QuickBase Solution Provider) or QuickBase Sales about your needs to make sure they're the right fit with this product.

Make sure you get on the right path to get the right solution in place for your organization.

You should find consultative help and not a hard sell. These are quality groups.

My advice for companies who are implementing this solution is if they want to improve the efficiency in the process, the workflows, and the knowledge base, then keep the data centralized and share it.

QuickBase is an excellent product and it is very easy to get support. That said, you always have to make time to improve.

I would rate this solution a nine out of ten.

Quickbase is an extremely powerful solution. The level of details that is available to you within the platform, as well as the integration, and API that is available makes it a versatile tool for any company's needs.

Though everyone can make use of Quickbase, I will speak specifically to those who may not have database architects and application developers on staff. Quickbase will fill that gap by filling in that skill-set within the application, and allowing almost anyone within your organization who understand business process to build the appropriate Quickbase application.

Go for a trial run, and you can thank me later.

Update 05/09/2017: Quickbase has since introduced to new major features: WebHooks, and Quickbase Actions which made automated triggers very easy within Quickbase, as well as outside applications, without the needs to know complicated APIs. (especially the Quickbase Actions)

Give the trial period a shot. Evaluate QuickBase with two types of strategies:

  • Simple Office Collaboration & Automation: Roll out as a self-service user environment for managing collaborative programs with web-enabling spreadsheets, documents, and localized databases.
  • Application Delivery: Elect an individual advocate with database modeling and reporting skills to consider more sophisticated workflow and user-interface requirements.

Before you build anything business critical, make sure you work with a QSP. Be ready to roll up your sleeves, as a good app build forces you to define your process if it is not already nailed down.

In my experience, it is never 100%. You have to allow time and budget for making some tweaks along the way as the development forces you to make process decisions.

It depends on the requirements of the company. Proper evaluation is essential. You need to identify the limitations.

For managing work, workflow, or to build up an eco-system integrating QuickBooks, Intacct Accounting, bill.com, or Salesforce, this can be great.

If your requirement is a business intelligence dashboard with complex analytics, you may face limitations.

The only advice again is on templates because many companies want to aggregate customer informaiton into a template to submit to either execs or to the customer and QuickBase uses exact forms which are not very helpful and often do not contain the customer logo. Also editing them once created is hard because it does not allow for word editing.
