When comparing SAP Business One with other products, the initial stage can be challenging. The first thing is to comply with the standards and best practices. If we can apply those and define good process flows, along with setting up the necessary configurations, then the implementation process becomes smoother. 

In the beginning, there might be some uncertainty, but it's not a big issue. The key is to follow SAP's recommendations and guidelines. They provide helpful guidance, and if we adhere to those, we will succeed in the implementation process.

It's totally an on-premises one. So we installed the HANA server, and this is a Business One server.

We have several office locations in Sri Lanka. So there are some remote users who access the system through KES Plus. Also, we have warehouses, and the warehouse users access the system through the KES Plus, where they do printing parts and refer to reports, among other things.

The initial setup of SAP Business One is simple.

Once we have signed a contract with the customer for SAP Business One, we mobilize the team and follow the SAP ESET methodology. The team begins by collecting requirements through multiple sessions. Two documents are then prepared, one technical and one functional, followed by the compute configuration step. Once the configuration is complete, training is provided. We then prepare the checklist, followed by the reports, before finally activating the system. This process follows a five-phase approach, known as the five-phase methodology.

The time it takes to implement the solution large caries on the environment, such as size. In some complex environments, the process can take six months.

I rate the initial setup of SAP Business One an eight out of ten.

On a scale of one to ten, where one is difficult, and ten is easy, I rate the initial setup process a seven.

I rate it a seven because they recently came up with the browser access, while many other solutions were already on the browser access for a long time.

Some clients prefer the solution to be deployed on the cloud, while some prefer it to be deployed on-premises. Also, the deployment process takes place in less than a day.

The initial setup for SAP Business One is straightforward. It's the easiest solution to set up, so it's a five out of five for me.

The deployment strategy I used for SAP Business One is called the ASAP methodology from SAP, or the accelerated implementation methodology. It starts with blueprinting, then realization, and then fine-tuning or the go live. After going live, that's when support happens.

The deployment usually takes three to six months.

The initial setup is simple if no customization is required, but if customization is needed, it can be quite complicated and time-consuming. Our own customization and implementation project took almost two years for a six-month project. The project is 91% complete, but there are still some hiccups, particularly with the management reports, which represent about 5% of the remaining work. It took a lot of time to test and implement.

We used a partner to set Business One up and we still use one. We are just customers. As far as maintenance goes, we have 10 people maintaining the solution counting only key users. There are about 10 more consultants and developers on top of that. We are still in the implementation phase.

The initial setup isn't too complex. It's very straightforward. There is an implementation center for Business One, however, I didn't use any of it during this project. The project management activities in terms of the initial setup sometimes require authorization instead of initialization and it should maybe be better. In general, though, it's pretty logical.

The complexity of the deployment and the time needed depends on the project's scope. You can complete the deployment in two weeks to a month if you are doing a standard implementation without much customization. We handle the implementation for the customer, and we have teams in various cities who specialize in different industries.

I wasn't there during the setup, but you need to know the system in order to set it up. If you know, it's not a complicated setup. If your data is ready, the setup can be done in two weeks.

We had some difficulties on the logistics piece. When we implemented it, we did some customizing for what we needed and it took time for the consulting company to do it and we had some difficulties at that time because we were supposed to go live when the pandemic started. So, to not wait a long time, we chose some important stuff for us to go live and it demanded a little bit more time to adjust the customization. This is not so easy when you have something a little different than the standard.

Initial setup is medium. We took around three months to go live with the financial part. Then, they took almost one year to deploy the other logistics parts.

The initial setup was very straightforward. We did a migration from QuickBooks, so we worked with a value-added reseller who provided expertise to do the migration. We were able to carry the data over with no major hiccups and it went very fast.

For us, deployment took three months as we really don't have a lot of products. We're primary services, and therefore the migration of master data was limited to financials, customers, vendors, things like that.

Our implementation strategy was to migrate all the QuickBooks functionality as quickly as possible so we could start doing transactions in the new system. We generally followed a provided implementation methodology that was provided by the partner, and that was pretty much it. We just followed the steps.

We don't have any 100% dedicated staff on deployment or maintenance of this. We have an internal IT team. It's really one and a half persons, however, they also maintain all of our IT including emails, websites, and other things. Therefore, no one is full-time just maintaining the ERP system. It's pretty bulletproof and if I need to bring in extra people to help when we're making any major changes, my consulting partner that I did the implementation with can provide resources for things like customizations, special reports, or anything that I don't have the capability to do in-house.

While the setup and masters is fine, we occasionally find the templates to be confusing. I cannot say that the problem lies with SAP, but with how things are approached by them from the mandate side. So far so good. They study us and provide us with the details we need concerning how to set up the master.

The initial setup is largely straightforward. That's my understanding. I do not do it personally, however, there is a team on-site that does it and they don't seem to have too many problems. 

There are two parts to the setup. One is technical, and the other is functional. To set up the technical components of Business One is very easy. It is usually done in a few hours.  The functional aspect normally isn't that difficult, as compared to SAP S/4HANA, however, it takes at least three days to one week to set up the data. 

The full deployment can take somewhere around three to four months.

We handle the maintenance for our customers.
