For new customers, the initial list price might seem high, especially considering the product is priced in dollars or euros. Microsoft's bundled products like SharePoint have made them more competitive in Turkey. Despite Spotfire appearing expensive initially, with patience and negotiation, both customers and partners can find a more reasonable and workable solution over time.

Negotiating large/enterprise licenses has been a trial. The Tibco sales teams have been very difficult to work with - ignoring requests, misrepresenting level of demand, etc. Careful due diligence is required with any (and I do mean any) representation made during the sales/contracting experience.

My previous employer purchased an enterprise license that accommodated our sharp spike in users (tripled user base in two years). Licensing the thick client versus the web developer or web consumer is critical for technical users. This is dependent upon the company and personnel using the tool. Technical users such as engineers or planners will most likely require the professional client. Light-touch users in organizations who’d rather receive a PDF than perform calculations and pivots will have web-client needs only. Picture MS Excel: If your users are Excel users, they will be thick-client/professional/expensive version users.

I recommend training a core group of analysts to build your Spotfire templates. The rest of your organization can use the less expensive Web Player licenses to analyze the data through their web browser.

For licensing, try to obtain as broad a user base as possible. TIBCO offers a variety of licensing schemes, including less-costly individual licenses for the view-only version called Web Player. In order for that tool to be useful, you will need a number of people who are experts in Spotfire Professional to deploy analytic solutions.

licensing-wise, I didn't really have any involvement.

In my role as a consultant, I would work with clients and, from a software evaluation standpoint, I would say, "Let's take a look at your business requirements. Let's see what's the right tool for you. Should you go with something that's easy-to-use, right out of the box? Or do you want something that's a little more advanced, based on your users and your business requirements?" Quite often, because it is very scalable and it suits many different company sizes and business requirements, Spotfire was the right choice.

Tibco is an expensive product and although we purchased it initially for a small user group, as usage grew licencing costs meant we had to be very proactive with users who had licences but were not using them. There didn't appear to be any options to reduce the per user licencing costs by changing to a per processor model unless you were spending £1m+.

Negotiate, plan for three years out and triple whatever your best forecast is for growth. Spotfire usage typically will grow like a wildfire in high winds and dry forest.

My advice based on personal experience would be to start small and scale up when you're certain that Spotfire is the right tool for you. In our organization, we started with a couple of stand-alone licenses for one year. Only after that, we decided to implement a server-based license to expand our user base for the whole department.

Spotfire seems to be more expensive than other tools and negotiating with the vendor can be difficult. They could make purchasing the product a lot easier by being more transparent on pricing and having the same pricing or pricing tiers for all customers. Customers absolutely hate this negotiation process because it is not transparent, and also because the negotiations seem to take a long time. Be transparent and fair.

Start small. Tibco tends to push the higher level subscriptions, and want you to buy their server. I’ve found that the base version is a great introduction at a reasonable cost, and allows teams to evaluate whether they want to continue using the product with minimal effort from the IT department (You can just download the base version from the internet and start using it.)
