What is our primary use case?

We use Orchestrator, Studio, and Robot to work with automation in our finance department.

How has it helped my organization?

The product improves how our organization functions by automating tasks so users aren't having to spend time doing mundane things.

What is most valuable?

The most valuable feature is the unattended robots as they completely take tasks out of the user's hands.

What needs improvement?

In the next release of the solution, I'd like to see process mining to analyze business processes through event logs. It would help the end-users determine what processes need to or can be automated.

As for areas of the solution that have room for improvement, the usability for the end-users could improve so that they will be better able to program on their own. Coupled with process mining capabilities, that could remove the need to involve programmers or IT in the automation of simple tasks. The cloud platform could be improved so we would be able to deploy through that with sufficient security.

What do I think about the stability of the solution?

On a scale from one to five where one is not stable and five is very stable, I would rate the stability of the platform as a four. It is a four because I haven't seen any outages yet but we may need more experience with the product to be sure it is totally stable when we are completely live.

What do I think about the scalability of the solution?

We have about four people are in our organization who are currently involved in our automation program and I can see that expanding as the company improves ease-of-use.

How are customer service and support?

Our team has used UiPath Academy RPA training. On a scale from one to five where one is the least beneficial and five is the most beneficial, I would rate the UiPath Academy RPA training as a five. It is very good and very detailed.

We have also used customer support and it is good. When I called in they were helpful with answering questions that I had and they responded quickly. Usually, we had one person assigned to us that kind of helped us implement and who was familiar with our needs. This helped in several cases.

Which solution did I use previously and why did I switch?

I was involved in the decision process to move to UiPath. We knew that we needed an RPA solution to take care of repetitive tasks that could be automated and we had been using solutions in other departments. We went through an RFP (Request for Proposal) process when the finance senior leadership wanted to see what RPA was about and how it could help in their processing. UiPath was one of three products that made it to the next stage of evaluations for this use case.

We did simultaneously use a different solution, which was Pega. UiPath was actually already being used in the company but the idea was to expand into the finance processes.

How was the initial setup?

The initial setup process was straightforward. The complexity that we met with was because of the requirements of our own company. The setup, as far as the installation, was straightforward and simple. From the time we purchased the UiPath license until we had our first robot in production was about three months.

What about the implementation team?

We did use a consultant for the deployment. The company was PwC (PricewaterhouseCoopers International Limited). On a scale from one to five where one is very bad and five is excellent. I would rate our experience with PwC as a three. They are not rated higher in our case because they didn't provide us with the best resources. They sent a younger team that seemed not to have really ever used UiPath.

What was our ROI?

We have only projected a total for return on investment and performance benefits from the solution through testing and past performance as we are not fully live yet. It will probably take six months to see the actual ROI when we know more about the performance benefits of full deployment. The solution has already helped to eliminate human error by about 25% and has saved our organization approximately 2,000 hours.

What's my experience with pricing, setup cost, and licensing?

As far as pricing, I don't know what the company spends on the license. I do know about the robots. I think the attended robot is a little bit too pricey. With the unattended robots, we can put them on virtual machines — not really Citrix but regular virtual machines which are a little bit cheaper.

Which other solutions did I evaluate?

The vendors who were on our shortlist were UiPath, Pega, Automation Anywhere and Blue Prism. We chose UiPath because we already had the product in-house and we had already gone through all the security checks for the company requirements.

What other advice do I have?

On a scale from one to five where one is very difficult and five is very easy. I would rate the ease of use of the platform as a three-out-of-five. I give it that rating rather than going a bit higher because it is a little bit difficult for the regular users to automate. In some cases, you have to be more of a programmer to automate successfully. Even so, it is better than other RPA tools.

On a scale from one to ten where one is the worst and ten is the best, I would rate the product over-all as an eight. It gets the job done, but there is still a lot of room for growth in the capabilities so that is why I think that eight is a justifiable rating.

The advice I would give to a colleague at another company who is researching RPA solutions is to read up on what RPA is and what it can do for your company. That is where I would start. Then try to go to as many meetups or conferences as you can to find out more about the products and how they are being used.

AI has given us accurate results from some complex automation scenarios

What is our primary use case?

We are using this product to develop automation in the billing section of our website. We are integrating bots so that they can do the basic listing and then our salesperson can take it from there.

How has it helped my organization?

The biggest improvement has been in cost. We have been operating it for about eight months for about $8,000. Earlier, it was taking us somewhere around $30,000 to $40,000, so that is a big improvement.

The other part has been accuracy. Before, when we had employees for the same process, there were some minor errors, as well as some time issues. But with this system, I believe the accuracy has been at par, although there are several times when we have had to reframe or do some minor modifications in the AI to make the model work for a new set or variety of clients.

The reduction in human error means we get more leads into the hands of the right salespeople who can work on them. Fewer errors means time savings.

With time, the AI automation has improved. Specifically talking about the kind of business that we do, which is putting things into the right sections so that the right people are taking the right leads, even in some complex cases, we have seen accurate results from automation. AI is doing its job.

AI has also enabled us to automate more processes. Earlier, we had different sets of protocols for differentiating among the different kinds of inbound information we were receiving. Since deploying this automation, we have automated a large chunk of the reception. The accuracy has been maintained and the time has been reduced significantly. We are able to convert the leads in a way that gives us more to work with from the leads we get.

What is most valuable?

The automation-creation process is quite easy and the accuracy is quite good. That last aspect is critically important because we have used RPA to replace one of our employees and we are taking on a lot of responsibility. The most important thing that we require is accuracy and we have been getting that so far.

The end-to-end coverage is important because each and every part of the input we are receiving from our customers—and they're highly valued customers—is information that goes into our software via automation, and we do not want to miss out on any types of leads.

The UiPath Academy courses have been great at giving an overview of the solution and allowing employees to learn things at their own pace. Other users out there also helped our technical staff, so they have added value. The biggest benefit was that at the time our technical staff was getting used to the product, they felt that there was a scarcity of people who knew about how to execute things. Having this UiPath course was a little helpful because it gave them the initial confidence they needed to start doing things, whether it was right or wrong, and they kept getting feedback and improving.

What needs improvement?

The only concern is it's a bit tough to understand the first time, and you have to invest in the technical improvement of your team in general.

For how long have I used the solution?

About 6 Months.

What do I think about the stability of the solution?

There's no need to worry about the stability.

The only concern is as we move towards scaling it. What happens if the system goes off? Although it's not a big concern, we have been getting reassurance from UiPath that they have a solid backup of everything.

What do I think about the scalability of the solution?

With RPA, scaling is not an issue at all. Once a bot has been trained to do a specific thing using ML, multiple bots can be added for the same automation process, as many times as we want. Scaling is not a concern.

How are customer service and support?

We have not used technical support.

Which solution did I use previously and why did I switch?

In terms of our decision to go ahead with this product, although we had received a recommendation that we should be moving forward with it, we were severely concerned about whether doing things over and over would take us the same amount of time, in terms of the technical ability and the workforce, or whether it would be easier. After having a technical call with UiPath, we quickly knew that it would be easier. That was a crucial part of our decision.

How was the initial setup?

The initial setup was easy, but making the AI understand, and using the machine learning algorithms in it, took a long time. It took more than we expected it would take. The UiPath team had us understand that it would be functional after one or two months, but it eventually ended up taking about four months. That was more time than we expected, but the initial setup was easy and straightforward.

What about the implementation team?

We used a consulting firm. There were three meetings over the duration of the two-month contract. The advices we received we about our model selection with regards to pricing and data storage capability.

What was our ROI?

We have been using it for eight months. For the first four months, I do not believe we were saving time because we had to intervene a lot of times with help from the vendor as well. But from that moment onwards, once the integration was operating smoothly, we started saving time.

We do a regular analysis each month and we have been seeing constant growth. A month is a good amount of time to see the progress of a newly implemented solution.

Previously, we were not using automation operations. I believe we have now reduced costs significantly, which justifies the cost we are paying for the service.

What's my experience with pricing, setup cost, and licensing?

Pricing is good if your venture is looking for growth in 1-10 million size of customer domain.

Which other solutions did I evaluate?

yeah we got in touch with the IBM team for their automation tool.

What other advice do I have?

Building automation takes some time. The first time, it took us a month, but after that, it was easier. The next time we build an automation, it's a kind of reciprocal of what we did the previous time. The first time involved some help from other resources, but from that time and onwards it has been going well.

The innovation did not happen as fast as we thought it would for the first half. We had to recruit some IT guys to our technical team so that our entire team could become familiar with the process. The innovation potential is there. It helps to get very familiarized with the solution. But for the first few months, the innovation part was delayed. The technical level required to handle it smoothly was not there on our team.

There are multiple use cases. We have use cases for the ticketing system for assigning the ticket, resolving or maybe closing the ticket, and opening a new ticket. We also have a business use case related to insurance. I worked for an insurance client, and by using automation, we could create a policy that is used for testing purposes. If they had a new enhancement or an issue, they wanted to test whether it was working properly or not. They provided us with some raw data, and we tested that.

How has it helped my organization?

UiPath enables us to implement end-to-end automation. It is very important for us.

We use the AI functionality in our automation program. It helps us with decision-making. The AI functionality has enabled us to automate more processes overall.

UiPath speeds up digital transformation and reduces the cost of digital transformation.

UiPath definitely minimizes the operational expenses. By automating the static tasks that people are doing on a daily basis, there is a reduction.

UiPath reduces human errors. With static tasks, such as data entry, there are more chances of human error. With robots, there is less chance for error.

UiPath frees up employee time for other tasks. By automating static processes, we can save time and utilize it for other tasks.

UiPath definitely saves costs, but we cannot fully replace humans with robots. A human is required in certain cases. We can reduce at least 70% of manual tasks and for maybe 20% to 30% of tasks, we need human intervention.

What is most valuable?

The IDP feature is most valuable in UiPath because there are a lot of invoices and bills in every company. If they want to extract from a scanned document, it is very useful.

UiPath is very easy. We can build very complex processes within a few days.

UiPath has a very good community. If I am facing some issues, it is very easy to get the help of the community. They provide a solution very fast if I post an issue there.

UiPath Academy is good for learning purposes and certifications. They have beginner courses and advanced courses. By using them, it is easy to implement UiPath in a real-life project or process.

What needs improvement?

When it comes to decision-making, the robot will work based on what we feed it. It will not take any decision at runtime the way a human can. If they can put more intelligence in the robot for decision-making, it will definitely be beneficial for us. For example, if something is not working and it can dynamically decide at runtime what would be the next step, it will be beneficial.

Additional features such as chatbots and AI should be included in the UiPath itself. UI development is another thing. It could be improved for web development and app development.

For how long have I used the solution?

I have more than six years of experience with UiPath. I have also worked with Automation Anywhere for a year, but I am more familiar with UiPath.

What do I think about the scalability of the solution?

It is scalable. They have ML and also Python. They are adding a few more features.

We have around 1,000 people using UiPath. We have different groups in our company. We have separate teams. There are multiple different tools. UiPath is in one vertical. Automation Anywhere is in a separate vertical. 

How are customer service and support?

Most of the time, if we raise a ticket, they help us to resolve the issue. I would rate their support a seven out of ten. The response time is as per the issue. Sometimes, it is very fast, and at other times, I have to wait for a day or two to get help from UiPath, so I have had both good and bad experiences with their support.

Which solution did I use previously and why did I switch?

I have worked with Automation Anywhere. I have also done scripting, but I had to write a lot of code to automate, whereas, with UiPath, it is simple. It is drag and drop.

How was the initial setup?

It is deployed on-premises. There was no issue at all in deploying it.

For the deployment of bots, we have different VM servers. They are unattended ones. The deployment of bots is a very simple task. 

What about the implementation team?

I can do the deployment myself. It is not a big task.

What was our ROI?

It saves six to seven hours for one person in a day. It saves the cost of one FTE, which is very high in US dollars. It is more than the cost of a robot. There are definitely savings. If the utilization is more, the savings would be more.

What's my experience with pricing, setup cost, and licensing?

When I started with UiPath, there was a desktop model, and we did not have to purchase Orchestrator. Now, there is a bundle or package of Orchestrator with attended or unattended robots, so the cost is a little bit on the higher end. They are selling the Orchestrator model or the admin model. If someone wants to purchase the standalone or desktop model, they cannot do that, so the cost is on the higher side, but if we purchase more licenses, it gets reduced. If we purchase fewer licenses, it will be high.

What other advice do I have?

If you have good use cases, I would advise using UiPath. Compared to other tools, UiPath is very easy to learn. A trial version of UiPath is easily available, whereas the trial version of Automation Anywhere and Blue Prism is not easily available. Automation Anywhere provides a trial version nowadays, but previously, it was very difficult to train people on that. That is the reason UiPath is the market leader at this time.

I would rate UiPath an eight out of ten.

We use UiPath to automate PDF processing and extract financial and other information from PDF files. We store the extracted information in our database for our orchestration tool to process.

We have used UiPath both on-premises and in all the cloud services. 

How has it helped my organization?

Building automation using UiPath is easy even for non-technical people.

It enables us to easily implement end-to-end automation.

The UiPath User Community is helpful for our technical users.

UiPath has helped our organization because its ease of use for non-technical people makes it easy to understand and implement the automation framework. The automation server is of high quality, and UiPath is cost-effective. We realized the benefits during the training process.

We reduced our on-premises footprint with UiPath. For any organization that still requires all of its information to be secured on-premises, we can do that as well using UiPath.

I have completed two certifications using UiPath Academy courses. The academy has taught me a great deal about UiPath services, the automation framework, and how to use UiPath with SAP automation.

What is our primary use case?

The use cases have been really broad for us. We have been trying to go in a bunch of different directions. The use cases started out small with attended automation, trying to automate a bunch of reports for our operations departments. That's where we started just to prove the concept, and now we're branching out into some of the document understanding.

How has it helped my organization?

We're in the financial services industry. I work specifically for our security clearing division. I do stock trading, bonds, and all that kind of stuff. Our main objective was productivity, trying to prevent from having to hire so many people to run our ops department.

We have also done task mining. It has been really great for us. It's helped not only document what we're going to do for automation but also document processes in general. There are a lot of departments that just don't have any documentation. 

We've really been leveraging it in that way to try and get better documentation around all processes. 

What is most valuable?

The features we've used are somewhat limited at the moment. We've been doing a lot of basic reports. We automate daily reporting tasks. 

A lot of our back-office business is driven around emails right now, and there's no automation whatsoever around any of that at the moment. That's where we're really looking to go.

What needs improvement?

The biggest struggle that we've had is understanding how to get in and properly set up all the architecture and orchestrate everything correctly from the get-go rather than trial and error and then fixing it as we go.

I have been using UiPath for a year.

I haven't had any issues with stability.

We have a very small team at the moment, so we're still trying to scale up.

Scalability is open to interpretation because it depends on how your environment is set up. 

Personally, we have to deploy a lot of our stuff on our own servers, behind our own firewall. It's left up to us to maintain the scalability, whereas other firms may be able to use more of the cloud robots and not have to worry about it as much. 

Scalability has been a little bit of an issue, but it's our own issue, not really UiPath's issue.

How are customer service and support?

The customer service and support are very responsive and helpful. We have run into a few issues where they haven't been able to give us a definitive solution.

For example, one of the biggest issues we've had is that we have a lot of integration issues with our Outlook. I don't know if it's how we set it up or issues with UiPath activities, but we've been struggling there and going back and forth with support.

Which solution did I use previously and why did I switch?

We use Microsoft Power Automate a little bit. Power Automate has a little bit of orchestration. UiPath is definitely a lot more sophisticated. That's definitely a big advantage at the moment.

Our use case for Power Automate has been very limited at the moment. Mainly, we've been targeting areas where we struggled with UiPath and using Power Automate, mostly in the Microsoft integrations where that works seamlessly out of the box. In contrast, we've run into some hurdles around certain Outlook and Teams-type activities with UiPath.

How was the initial setup?

We're using Cloud Orchestrators so the setup was pretty straightforward. We have its cloud Orchestration by all of our robots running on-prem servers.

What about the implementation team?

There were two people involved in the deployment process. 

Initially, nobody bought in on the idea of automation so we started building small tasks that we could show to people. It was mostly attended automation on desktops to let the users see how the program works and get comfortable with it. 

We started building a bunch of little automations that aren't huge time savers but demonstrate how UiPath can work for people. That was the implementation approach we took.  

Now we've got some buy-in. People understand who we're starting to reevaluate, try and scale the program, and do it the right way this time.

What was our ROI?

We have seen a return on investment. We're mostly calculating the time saved at the moment. Now we're starting to get a little more into the cost-benefit analysis of things because we have a a program running. 

For this first year, our biggest metric has been showing upper management the time saved so that we can calculate the number of employees that we need.

What's my experience with pricing, setup cost, and licensing?

The pricing is justified at the moment. It's definitely significantly more expensive than other competitors out there, but at the moment, its technology is good enough to where UiPath can justify it. It'll be interesting to see in the years to come, once Microsoft starts competing more, what the pricing ends up looking like.  

What other advice do I have?

UiPath is definitely the leader right now. I would rate it a nine out of ten.

If you have the resources, try UiPath. Get some consulting to set everything up properly from the get-go, so you don't have to go back and redo it the way that we've done. 

No matter what approach you take, you're going to see some benefit from using it.

I evaluated Automation Anywhere, but based on the reviews and business experience of multiple friends, UiPath appears to be less complex than Automation Anywhere.

What is our primary use case?

We automate transactional processes such as sales order creation and PO creation for UiPath automation.

How has it helped my organization?

UiPath enables us to implement end-to-end automation. It's a very good tool. It helps us to automate from input processing to output, which is very important for us.

We have been doing automation for the last four or five years, and we were able to achieve efficiency. We were able to reduce our workload and improve employee morale. We were able to eliminate human error, and we were able to improve process efficiency. From the payback standpoint, it took eight to twelve months. That's also because, after the implementation, we take about a month or so to make the solution more stable.

It hasn't helped to reduce our on-premises footprint because we are still doing most of the automation from the on-premises solution. We still rely upon certain ERPs, but it bridges the gap between multiple systems. It plays a huge role in terms of bridging the gap between applications.

It has reduced the challenges that we faced with digital transformation. We were able to achieve a lot through UiPath.

It has definitely reduced human error. We are able to get more mature processes.

It has freed up employees' time.

What is most valuable?

We mostly run things on ERP, so predominantly, the SAP model is used. Some of the features, such as web-scraping, are also very good in UiPath.

It's stable.

What do I think about the scalability of the solution?

It's scalable. We plan to increase its usage in the future. We have a centralized CCOE for the management of licenses and monitoring, and we have around four developers. 

From the licensing standpoint, we are still at a very early stage. We have only 40 to 50 bots. We are increasing the number of bots every year, and we will go for additional licenses every year.

How are customer service and support?

We are a part of UiPath's community, but we also used their support for understanding some of the features. I'd rate them an eight out of ten.

Which solution did I use previously and why did I switch?

We still have Automation Anywhere. From the capability standpoint, both tools are equally competitive. However, when we go for a thin client application, UiPath is better than Automation Anywhere. Whenever we access an application outside the environment, there is a feature in UiPath called Citrix plugin to be able to capture controls. We see that feature as an advantage.

UiPath has all the features that Automation Anywhere has. There's nothing that Automation Anywhere has but it's not there in UiPath. 

We took two tools as our adoption strategy, so we have Automation Anywhere as well as UiPath. We tried these two tools against some of the functions with various levels of complexity. We did a mapping of certain functions with Automation Anywhere, and we had certain functions with UiPath. We picked up a few processes, mostly the low-hanging fruit, and we were able to quickly implement those processes for process automation. It gave us a lot of confidence.

How was the initial setup?

We started with a very old version. Five years ago, the version was different. We didn't face many challenges. Now, we are doing the migration year by year. It isn't a challenge.

What about the implementation team?

Initially, we took some support from the professional services team, but we did everything in-house. 

Generally, we have two people for each tool. In total, we have four people. They are senior developers.

What was our ROI?

We have seen an ROI. We are able to get an ROI through better processes. Apart from the infra cost, we have saved around 200K.

What's my experience with pricing, setup cost, and licensing?

The price of both UiPath and Automation Anywhere is high. 

The basic package is included in the price, but in case you require any professional or golden package, you have to pay a higher price. 

What other advice do I have?

I'm currently not using UiPath Academy, but we have different roles, and people who join our team use UiPath Academy. For example, business analysts who join our team use UiPath Academy to understand all the tool capabilities.

Overall, I'd rate UiPath a nine out of ten.
