Adobe Workfront Room for Improvement

I have used the product and instantiated it, almost seven years back. The process was fairly complex, however, I don't know if they have changed the same now. But this is something I think, if not addressed can be improved.

Another area that needs a little attention, is the change of implementation lead. Back when we had Workfront instantiated, we often had our timeline delayed due to the change in the implementation lead. Now Workfront is under Adobe and, in case, this issue, isn't fixed it should be given due attention.

Also, Workfront is a universal tool, which can pose a difficulty for small businesses and companies, who don't have the required time, effort, and knowledge to configure it periodically.

Sometimes there are glitches when we are reviewing an interactive proof. It does not show the comments side by side in the compare mode. A lot of time, we see comments only on one side. The product should improve its efficiency. Certain features are very restricted. Sometimes, I have to export data from Workfront to Microsoft Excel to work on it.

The system does not allow us to change calculated fields across all the forms at the same time. If you have one field in a form that is also on ten other forms, we have to delete it from the other forms, reset the formula in one of the forms, add the field back to the ten forms, and refresh the data.

It is a long process to get things done, which is time-consuming. We should be able to change a calculated field, which should be automatically implemented across all the forms. This feature is available in the native and custom fields but not in the calculated fields. We have to do it manually. When we do it manually, there is a full chance of error.

Adobe Workfront is very slow in making updates; for example, its reporting functionality is quite complex. You need to be knowledgeable to understand how to combine two objects effectively. The user interface also needs improvement. It doesn't have a user-friendly design. 

Workfront was previously known as AtTask, and then it was acquired by Workfront. Now it's acquired by Workfront, but the changes in the interface have been slow. Some elements have transitioned to Adobe, while others still function under Workfront. So it's been challenging to adapt to those changes.

Workfront comes with some native integrations with Teams, SharePoint, Microsoft Office, Jira, and Salesforce. We can establish connections with such third-party applications using simple settings and without coding knowledge. However, this functionality offers very limited features and should be improved. Workfront's reporting capabilities must be improved. Although they claimed to completely update the reporting experience by designing a dashboard, it's been a while since they did.

Currently, we can see very limited options on the home screen of Workfront. They should provide an option to navigate from the Workfront home screen to different third-party websites our clients use, like Jira or SharePoint.

There are a few improvements needed in Adobe Workfront. Previously, while I was working with the tool, we worked on it around 2020 and 2021. We were having some difficulties creating different kinds of reports and dashboards. There was some issue because of which we could not create the reporting the way we were looking for, or the way we can create a report in Power BI or Tableau. Now they have created some in-built connectors like Power BI. They are working and improving the application.

To make my life easier, I would like Adobe to work on the dashboard. At this point, we cannot create a report. We do not have many options. Let's say if I'm creating any dashboard, we face some limitations. They have introduced Power BI, so Adobe should work on the dashboard and reporting parts. Most people would like to see the visualization of data and not the exact raw data. Visualization of data can be helpful for people and for the business.

Workfront's reporting features are robust, but there is also room for improvement. The dashboard could be updated because it's raw and doesn't have nice graphics. We're in marketing, so we incorporate a lot of design elements into our daily work. 

Our product and graphic designers are working with various Adobe products, but Workfront has a no-frills interface. It's a useful tool with everything we need, but it could be a little more attractive and present information in a polished way. It's a web interface, so it's accessible, but the appearance could be a little slicker. 

I'm always stunned by the dashboards in other products. For example, Microsoft Power BI is focused on producing analytics, reports, and dashboards. It produces some eye-catching dashboards that look impressive. it's kind of straight to the point, but at least it's pleasing to the eye. Dashboards have come a long in the last 10 or 15 years.

There are aspects of it that are clunky (user interface, agile boards, dashboard tools, resource management) because it is trying to be good at everything but they are continually improving. For example, resource management tools could be more helpful if there was a way to see actual hours within the workload balancer.

The current version has great and powerful features. I have not experienced any performance problems from the operation of this platform. I have no complaints so far. However, they could improve on the speed of the product. The interface can also be customized to fit and accept many tools for better performance and customer service improvement. 

The current technology and system plan implementation could boost service delivery. 

The overall performance in our company has been awesome. Management of our resources is more secure under Workfront.

The biggest room for improvement comes from faster iteration times. Currently the larger releases are coming quarterly, but this also means that if they aren't already working on a section of the tool, your enhancement request may be a long way in the distance. They do have quite a few Product Managers within the company that are assigned to different parts of the tool, but with quarterly release schedules it can seem like requests fall into a black hole.

I would have to say the "Updates Tab" where comments on the projects are posted. I would like to see a way to highlight text in a different color or bold the text, for certain copy updates to a project. This would help when explaining copy edits on a project. We are now putting the copy edits in a word doc and uploading to the "Documents Tab" for the edits to be made. This works but it would be nice to have this ability in the "Updates Tab".

Some of the specific functions in the system can get a little quirky and could use some help with, but those are really for unique cases and not general system functionality. The mobile app or table use of Workfront could also be better (from a project manager's prospective using the Gantt Chart). The legacy gantt chart that was built in Flash and Java was great in terms of its usability but it wasn't sustainable with newer technologies. Worfront is still working on a better solution for the Gantt and in my opinion haven't developed an acceptable replacement for the legacy gantt so we continue to use it.

Workfront still has a lot of growing to do in the proofing and review areas of the application. We love proofHQ but certain functions are broken for us right now and it's difficult to say when a fix is coming. Additionally, the document review process is way too clunky and needs to be streamlined.

Agile methodology- When a task is assigned to an agile team the date associated with the task becomes null and void because is is scheduled in an iteration. The PM then does not have the ability to update the date and often will throw off the project schedule and show as behind.

Although the reporting will get the bare basic metrics to present, Executives now want more. The ability to show high level summaries with the ease of drilling down to details within one report. With limitations in the grouping/charting functionalities - multiple charts reports are often needed for one summary presentation. Agile dashboards need improving, and they need to improve the branding on the business cases.

Workfront works well if you are just trying to use out of the box functionality but once you try and get specific to your own business needs, it lacks in flexibility

Reporting - Workfront really lacks in the reporting department. It takes a significant amount of effort just to resize columns on reports and then even more effort if you want them to print or export correctly. After a year of trying, we still haven't perfected this.

Bugs - Everytime I submit a ticket, either the feature does not exist so I am asked to submit the idea to their product developement team or they blame it on a bug which takes time to resolve.

Calendars - Cannot print calendar or even export them

Outloog plug-in - Inconsistencies between Requests through the website versus the plug-in

Limited Flexibility - Cannot set up reminder or notifications on custom fields, only on their select few out of the box fields. If you have a calculated date object, you cannot set automatic reminders on it. This is one of those things you wouldn't believe a product like this would lack.

HTML - not simple enough. Why not allow users to create reminders without the need of HTML in order to make them dynamic.

Some of my reporting needs, I have had to add custom calcuations and when I have called to get help, they say it is a custom ask. I hope someday they incorporate those, as I am not that great at building correct calculations.

Reporting using charts could be improved - I currently export a few complex reports to Excel in order to create the charts that I need.

Responsiveness of the website could be better at times, but a new data centre should be online soon and should help.

Reporting is a bit limited; while basic reporting is completely fulfilled and you can present the information in clear graphs, when you try to create complex relations (historic vs forecast, capacity vs demand) things get more complicated, there are limitations and you need workarounds to obtain the desired (or closest to the desired) information.

Sharing of information is cumbersome; although you can send automatic reports by email, it's difficult to distribute more elaborated pieces of information.

Resource management is limited; there are tools in the system, but they are not intuitive and are a legacy of previous versions of the system.

More customization of the user interface would be nice. It would be nice to have the ability to create requirements documents and other commonly used documents for managing projects directly in the tool. Otherwise it functions great.
