We leverage UiPath Process Mining to uncover and map the workflows for our diverse clientele. Most of our processes mining is invoicing related.

I worked on a use case for a pharmaceutical client. Their goal was to understand their current processes and identify automation opportunities to improve their day-to-day operations. I focused on a couple of quality-related processes within their quality stream. This was the primary use case for UiPath Process Mining in this project. Our client lacked clarity in understanding their processes. They were unsure of the exact workflow and the stakeholders involved. While they had a general idea, they were unfamiliar with specific key performance indicators such as throughput time and the various hand-offs that occurred throughout the process. Therefore, they sought to gain visibility into their day-to-day operations. Our initial deployment was cloud-based, taking advantage of the POC's flexibility. Given that the data provided was solely in CSV flat files, cloud implementation was feasible. However, the actual live connection was established on-premise due to client skepticism regarding cloud data storage. For live data, most clients still prefer on-premises. However, cloud deployment remains an option for POCs where flat files are provided.

I use the solution as a POC in the automotive and financial industries. I use it as an RPA for process mining. We did two POCs. The first was about repairing vehicles. The second was in a bank environment. That was related to having different branches being able to check customers.

As a developer, I manage a process mining team and have a development team reporting to me. We use UiPath Process Mining for over-the-counter, code-to-invoice, and purchase-to-pay processes. In over-the-counter processing, there is a process called accounts payable. Within accounts payable, there is a process called three-way matching. Three-way matching involves matching three things: the purchase order number, quantity, and price; the goods receipt quantity and price; and the invoice quantity and price. These three things must be matched based on a set of rules. We were able to identify areas where all three-way matching could be automated using process mining. This significantly reduced our lead time by around four to five hours.

I was in the working group of my firm, and we were onboarding UiPath Process Mining as a product. The use cases for the solution were sometimes driven by the management and sometimes by us. Three to four systems were involved in a team's daily tasks. The performance of these systems had been decreasing down the line. They were not performing as expected, causing delays in client deliverables. We analyzed two of the applications in which we found major issues. We did some groundwork research and shortlisted two in-house applications developed by our firm's team. It was a hard journey to get the logs for those applications. We did some groundwork again to understand how the application is supposed to work and how it was designed. We considered the efficiency points of UiPath Process Mining, which we can grab quickly. We generated the logs, linked the process graph, and understood three loopholes related to the log-in part and the user's behavior on the first attempt. There were some issues with the accuracy as well. For the login, there is a chain in which the prerequisites should be completed, and then the next task will be processed. However, the person processing the next task is logged in already. When two people log in, as soon as the mail is ready, they'll process it. You should log in when required because of the load-balancing team. More than 20,000 people use one application. You should keep in mind that not everyone is supposed to log in and click somewhere to stay logged and avoid the time delay. Login will take time, according to human behavior, but that is not supposed to be the ideal behavior. The teams were educated to log in whenever required and sign off. This was one of the behavior changes, which may seem small. However, when more than 1,000 people do it, it would cause a considerable impact. There were other issues related to the login. Sometimes, we have seen in the process graph that without going to the credential screen, the system would go to the main home page and log out. There was some bug, which was taken as a crucial security breach, and a build change was suggested to the application team. More than 100 instances in the last six months have been observed. After the user enters the username, it should ask for a password, but there is no linkage between them.

Our primary use case is for the accounts payable procure-to-pay process. We are trying to see the KPIs for the procure-to-pay process. The solution helps us know how long it takes for invoices to get cleared, why a huge backlog of invoices is not being cleared, and what the bottleneck is. We use the solution for areas where automation can help, such as what is the issue with the process, where it is stuck, and where the process needs improvement.

We are a UiPath partner and we work for manufacturing companies. There are a lot of processes out there with deviations. The Process Mining tool will let us know the exact deviation. Once we find the potential for a bot, we will do process automation using UiPath. Wherever we find processes that are having problems, we run this tool to see where the bottlenecks are and where, exactly, Process Mining can help us.

While we haven't extensively used the solution, our experience with the solution has been good, and we believe it has the potential to meet the needs of our other clients as well. Currently, we are utilizing UiPath Process Mining with several small solutions without facing any issues or hiccups. One example of this is how we have automated the process of logging in to a website and checking the transaction status of our clients. Our firm specializes in chartered accountancy, which files tax returns and monitors the status of these filings for our clients. With the help of this solution, we ensure that our client's database is automatically synchronized with the login credentials for the respective websites. This allows for the automatic updating of the status of their income tax returns in Excel.

UiPath is a platform that I use for automation in the enterprise. I mine the process. In terms of Process Mining, I basically do the following: your SME can perform a process in a variety of ways. For example, let's say you call me and ask me a structured question. Consider the possibility that five of your coworkers are performing a similar task. They may have their own way of asking questions or carrying out a specific procedure. Then, depending on the type of associate you have, the number of questions you ask. The Process Mining solution will essentially figure out what the process variations are. These variations have been identified. Also, if there are gaps where people may not be following a standard process correctly, those gaps will be remembered as well.

We use this solution to get deeper insights into the process and to see if there are any opportunities on how we can improve the processes. In most of the cases, Process Mining would actually throw out analysis or insights which are already known to the users, but in some cases it would be more granular and backed with data. Those database-backed insights are very valuable for the business partners or the operations teams. It allows them to make decisions about how they can improve their process, like whether there's any process changes or technology changes required. Do they need to change the workflow systems or the technology assets which they currently use? Is there a better way they can perform the work or is there any scope of automation? Are there any compliance issues which wouldn't have been visible to a human eye just by viewing the process or the reporting? For process mining, we understand some of the hypotheses they have, like what is that they want to understand? Are they looking to gain insights around how their teams are performing? I think you gain value about how the process is overall behaving. Is there any kind of rework or are they looking at automating or redesigning their own process? This is a hybrid solution.

I am a project manager and have been working on projects for UiPath with some of their clients. I was using the most recent version with our internal developers. The project was managed using Azure DevOps. The teams I worked with would average between four and seven team members. It requires a couple of developers, a BA, a project manager and a scrum master. UiPath is used for a variety of purposes such as, invoicing, automating, scanning documents, data collection, and data driven type of applications. There are more than one use case depending on what the client was trying to accomplish through automation. They were automating repetitive steps. We had commercial uses, government uses, financial services and investing uses.

At my company, we use UiPath for almost everything, and not just process mining, which is what we call the discovery part of what we do. Our main use of UiPath Process Mining is as a tool within the field of RPA (Robotic Process Automation) that helps us with automating processes for our customers, where we will often also use UiPath Studio. A major example of the work we do with UiPath includes automating management information systems for reporting purposes. So if we have to make a few reports, we will go with UiPath to create them. We have also used it for reconciliation, or what we used to call reconciliation until more recently. That is reconciliation between two banks, for instance. We also use UiPath for claims processing, LC (Letter of Credit) issuance, and more. To date, our services company has automated over 200 processes for our customers using UiPath, all of which has been done by a team that spans over 65 professionals.

Here are two use cases: one involves a customer with an insurance domain. They had multiple underwriting claims, loss prevention, members, or teams, and they were doing manual filing of the documents or correspondence. We automated the document filing system using UiPath. We had users send the documents to a particular email box with a particular subject line. Then, we had the UiPath robot automatically read those email subject lines and automatically file into SharePoint online. The second use case involves creating new policies in an underwriting system or renewing the older policies in the system automatically. The robot will read the Excel file in a particular structure and will create new policies or renew the existing policies in the underwriting system automatically, building on certain key business rules. The successes or exceptions will be reported to the business.

There are multiple use cases. For example, we have automated shipping process for the operations department, including shipping repairs, production line assembly, and line automation using attended robots. Using unattended bots, we have done Engineering, finance, accounts receivable, invoicing, invoice validations, and reconciliations. For sales, we have automated order management and order inquiries. We also have proactive monitoring bots for IT. So daily IT jobs are monitored, and the robot automatically takes action by triggering tickets in ServiceNow.

Process Mining helps us to understand how our processes have been built. From that, we can analyze and make the necessary improvements, so that we can be more productive. UiPath Process Mining is not the only tool the client is using, but Process Mining is something that we would use as an add-on to what we have. For example, if we are using UiPath Studio with five production boards and running it on different systems, then running five different processes, Process Mining can help us to understand how these processes are working, and help us to analyze if there is any room for improvement, or needs any changes to be more accurate and more efficient.

We primarily use the solution for document understanding and to automate the transfer of information between systems. Emails have been coming into a group of data entry clerks, and those data entry clerks, in the past, have been taking that information and pasting it into another system. We've basically automated that process. Now, the system reads the email, extracts the information, and then posts it to another system for us. We are also taking a PDF with multiple documents, splitting it up into separate documents, and then posting that to another system.

Our primary use case of this solution for our client was for PDF automation which we used to extract data from the PDF, details such as invoice number and invoice structure. We extract all the data and it gets posted to the website. They post all the details inside a tool they use. Before implementation of UiPath this was a manual process which required 50 people all doing the same work 24/7. Once we implemented RPA, it reduced the time factor by around 80%. In most of the cases, it was multi-source data collection systems from multiple sources and getting all the information to one point. There is an email or a message.
