What is our primary use case?

We are a software company and we have many different software projects with 10 to 15 developers working on each project. We use to Asana to manage each project, for team collaboration and to assign tasks to the team. Basically, we use Asana for project management and collaboration.

What needs improvement?

We have not used Asana on our private server. We have only been using the cloud solution. We need an on premise solution for government agencies. This would be an improvement if this was possible.

For how long have I used the solution?

We have been using this solution for six years. 

What do I think about the stability of the solution?

This is a stable solution. So far we have faced not any problem with the system slowing down or lagging.

What do I think about the scalability of the solution?

We have 150 full-time employees in our organization and for our use case, Asana is sufficient. We don't know if we can handle over 500 or 1000 users at the same time. We have not tried yet.

How was the initial setup?

The initial setup is straightforward. It was just a few clicks to get started and to integrate Asana into our existing business system. It took 15 days to fully implement our projects using Asana.

What's my experience with pricing, setup cost, and licensing?

We have a monthly subscription.

What other advice do I have?

I would rate this solution a nine out of ten.

What is our primary use case?

I'm using Asana to have data for our weekly team stand-up meeting.

What is most valuable?

What I found most valuable in Asana is its Kanban style board. I haven't dug into the tool deep enough to really explore all of its features.

What needs improvement?

Better integration could be an area for improvement in Asana. It's hard to integrate it into other parts of our company workflow because our company infrastructure has a lot of security firewalls, but I'm not sure if there's anything Asana can do about it.

What do I think about the stability of the solution?

Asana is a stable tool. It runs smoothly.

How was the initial setup?

The initial setup for Asana was straightforward. It's one of the reasons the team decided to use it.

What other advice do I have?

I work with Asana five minutes a week, but not in-depth like some of my other colleagues.

For our needs today, Asana is doing what it intends to do. I don't know how more we can push it, because we're not really leveraging it for its whole capacity.

We haven't reached out to their technical support team because we didn't have a need.

My usage of the tool is extremely limited, so I don't have much expertise to give advice to anyone looking into implementing Asana.

I'm rating Asana eight out of ten, based on my experience.

A stable solution with a lot of integrations and good task management features

The solution is a task management app. It is good for project management.

What do I think about the stability of the solution?

I've never had challenges with the product’s stability. For the period we used it, it was stable.

What do I think about the scalability of the solution?

The tool is scalable, but we have to remember that we have to pay for it. Our organization had a team of 15 to 20 people using the solution. A project manager managed the solution. We did not need a developer.

How was the initial setup?

The initial setup was straightforward. I come from a technical background. Everything is straightforward for me. The setup was very simple. We had to download the app and add the tasks.

What about the implementation team?

We deployed the tool in-house. We just have to sign up and download the app to deploy the solution. If we want to use the cloud version, we can get on the website and add users and tasks. It is that simple.

What was our ROI?

My organization would have seen a return on investment in the solution. If they didn’t, they would have stopped using it.

What's my experience with pricing, setup cost, and licensing?

We paid a monthly licensing fee for the product.

Which other solutions did I evaluate?

Bitrix24 is pretty fast, but Asana is fine too. Asana is better than Trello as a task manager.

What other advice do I have?

Asana is good at what it does. However, I still prefer Bitrix24 over Asana. People looking to use the solution must go ahead and use it. It is not a bad tool. Overall, I rate the product an eight out of ten.

The task hierarchy is amazing We can create a core task for the entire team, but then we can create sub tasks off the core task and assign them to specific people. LOVE THAT

What is our primary use case?

We primarily use the solution for project management and communication on projects.

How has it helped my organization?

We're still in the process of learning it, so I can't say that it's improved the organization tremendously yet, but our whole team understands its value and we just need to implement it. The onboarding process has been a little bit slow, just getting everybody to use it and moving away from our old habits.

What is most valuable?

The ability to build subtasks and break things down off of our major tasks has been very valuable.

What needs improvement?

The world is moving to a lot of video-type communication and having a quick way to do video inside the platform or communicate via video from one person to another could be very handy. In a couple of other platforms, I have looked for a way to communicate with the team with a short 30-second video that I can just click on, record, send, and be done with it.

I don't think it needs additional features as much as having a way to onboard the team and having a better way to get everybody accustomed to using it. That's what we need to figure out. I don't know if that's anything that Asana can do as much as it is just figuring out how to build an implementation plan for the product on our end.

For how long have I used the solution?

I have been using Asana for about six months.

What do I think about the stability of the solution?

It is very stable.

What do I think about the scalability of the solution?

I think it's extremely scalable. I'm questioning how I can use archives, how I can resurrect old projects, and how to add on to old projects. Before we can ever get to that level, we have to implement the projects we have. So the long-term roadmap in my mind is: What does it look like if I want to resurrect an old project, add onto it, keep or duplicate it?

Right now, there are only four of us in the company, so we're only implementing the product across the four of us and that's just super, super simple.

How was the initial setup?

It was very simple. By the end of the first day, I had a pretty good grasp on it. I think the rest of the team saw implementing the projects as a little too much work, and I think that was part of what limited our process. Moving from pen and paper, or moving from a whiteboard, into a digital platform involves a shift of mindset and a shift of processes. We didn't do a good transition from old-school processes to new-school digital processes.

What's my experience with pricing, setup cost, and licensing?

For what it brings to the table, I think Asana is fairly affordable. There are some features, such as portfolios, that I would like to see included at the level we're at. I think to pay extra for some of the portfolio features is unrealistic at this point, especially for a small startup company like ours. I would like to see that feature in our pricing plan right now, but other than that, it's definitely pretty good.

Which other solutions did I evaluate?

I looked at monday.com and at Trello. I looked at several different systems and landed on Asana for project management as we really thought it would bring the best value to our team.

What other advice do I have?

I would advise others looking into Asana to investigate the other platforms, but more than anything to know what they want when they go out and look for a platform. I didn't have well-documented what I really, really wanted, and that required me to chase a lot of rabbit trails and actually test some products, which wasted a lot of my time. If I had down on paper what I really wanted, Asana would have risen to the surface really quickly, but I was not well-prepared for what I was looking for.

As a whole, I would rate Asana as a 8.5 to 9 out of 10.

What is our primary use case?

I'm using it for communication with the company that we are reselling for. I'm not the owner of the products. Most of the questions that they're getting from our sales department they have to ask the vendor, so it's a nice way to communicate. It's a very good tool, very nice tool for delivering communications with the company.

What is most valuable?

It's a very useful tool because it's very easy to follow a path and its progress.

It's easy to open and close cases, and get answers. You can put a time limitation when the task must be done or when another person has to respond.

It's perfect because it's online and all the communications I see on most platforms, so it's very nice.

It's an easy way to communicate.

The solution offers fun easter eggs as you work through it.

The product remembers previously asked questions and can direct you back to them.

The solution overall is very easy to use.

It's better than email because email due to the fact that sometimes you can lose some email. This way everything is much more accessible and searchable.

What needs improvement?

You have to understand some basic functions on how to do tasks. For example, I didn't use any help file or helping tool to try to understand better what it could do. It took me, let's say a few trials to find how out how to import somebody on the Cloud. There just needs to be a bit more direction on how to use it at the outset.

For how long have I used the solution?

A few weeks ago I started to use the Asana project management tool.

What do I think about the stability of the solution?

The solution is quite a stable product. I haven't faced any issues so far. That said, it's new and I haven't explored everything.

What do I think about the scalability of the solution?

While I assume that the solution can scale well, I am only using it for limited purposes and therefore have never tested its capabilities.

We do plan to continue to use it so long as the company we are working with is using it.

How are customer service and technical support?

We've never had to reach out to technical support. If we have technical issues, we can just ask our company's IT department.

Which solution did I use previously and why did I switch?

We didn't previously use a different solution. This is the first product of this nature. What we used that was similar was previously provided by Office 365.

How was the initial setup?

The setup is not complex. It's pretty straightforward. You can also install it on multiple devices. I installed it on my mobile device, and so I'm getting notifications also on the mobile device but mainly I'm using this where we have the Explorer, the web browser.

The installation did not require too many questions. Sometimes though, the system, for the application to sync with the web, takes a moment. However, it's minimal. The installation process was a matter of moments.

What's my experience with pricing, setup cost, and licensing?

We have a free Asana license that covers my work. We don't have any costs associated with it.

What other advice do I have?

The solution is actually something that was recommended by one of our partners. I don't see many of these kinds of OEM products. 

I'm using the web application. I'm assuming that it is the latest version. 

I didn't upgrade it to the business as I didn't buy the business license.

I would recommend the solution. I'd rate it ten out of ten. I've never used anything quite like it.

I use it as a project management tool and as my day-to-day tool to capture and plan out my work.

It has business and professional editions. Currently, I am using the professional edition. I am using the latest version of this solution.

It has helped our organization. Everyone is kind of using the same software. Instead of having an Excel sheet here or a Word document there to capture work, we have everything in one system.

What is most valuable?

It is stable. I don't know about any bugs or issues at the moment.

I have scaled it a little bit, but I haven't scaled it to fit the complete enterprise. I have mostly scaled it for a couple of teams using it. It was easy for small teams, but scaling it when you get to tens of thousands might be a challenge. It is great for small-sized and medium-sized businesses. 

Currently, we have just a few users. We have a data scientist, a technologist, and a manager.

How are customer service and technical support?

They have a really good customer experience team. I would give them a solid ten out of ten. They provide really good tech support, and they are very responsive. They set up a call with you and walk you through it. I appreciate that.

Which solution did I use previously and why did I switch?

I used Excel. I switched to Asana because it is easier for most people to kind of see it live how the work is progressing. With Excel, you have to save the work, and someone else has to open it up, whereas, with Asana, it is live. That's the major takeaway in terms of capturing work.

It has a free version.

What other advice do I have?

I would suggest looking through their knowledge base. They have a really good knowledge base for different use cases. I would even recommend trying out the trial, which is available for one month. With any tool, you just need to know what your specific needs are. 

I would rate Asana an eight out of ten because I'm still learning how to use it. It is not a tool that covers everything. It is good for my purpose, and that right now is just tracking the work and collaborating with other folks.

If you have been using a tool like Jira for many years, it make time some time to get used to the minimalist layout in Asana. Once you get used to it, you may find it easier and faster to use than Jira.

We're using Asana for project planning with our customers. We created a company team in Asana, and we also created a customer team in Asana. We define the tasks and use the software for project management.

What is most valuable?

What I like most about Asana is its simplicity. For example: we're not the only ones using it, and we onboard our customers to it, and normally, they have no questions.

What needs improvement?

I'm not an expert on Asana. I'm only a user, and it does exactly what we want it to do. We are really happy with the software, so currently, there's no area for improvement.

On the development side for technical project management, Asana is missing features. We only use it for discussing tasks and strategies, and we use it for customer to-do lists. It doesn't have the source code integration that Jira and Jira Service Desk both have. We have Jira deployed on-premises for our development department. Our technical project management is on Jira, while our general project management is on Asana.

I've been using Asana for three years.

What do I think about the stability of the solution?

Currently, I cannot tell how stable Asana is, because it's cloud-based.

I haven't seen very good scalability in Asana, because it's cloud-based.

I never had to contact technical support for Asana.

We use other solutions in parallel to Asana such as Jira and Jira Service Desk. We're using all three solutions.

How was the initial setup?

There's no setup involved because we're using the cloud-based version of Asana. I just give them my email address and I register, then I'll have the software running. Though if I have to configure new projects on Asana, doing that is easy.

What other advice do I have?

I'm just a user of Asana, but when it comes to firewalls, I'm an expert.

We're using the cloud-based version of the software, not the on-premises version. It's the latest version because we didn't do an on-premises installation. We're using their past service, the cloud-based offering from Asana. Our cloud provider is Asana.

The number of users of the software highly varies. We're using it project-based, so my colleagues would be working with ten customers today, then tomorrow we'll have another project. 

My advice to others looking into using Asana is to start with the cloud version, because I really don't know much about their on-premises version.

I'm rating Asana eight out of ten.
