Quotes From Members
We asked business professionals to review the solutions they use.
Here are some excerpts of what they said:
Pros
"The most valuable features are that it's very secure and provides audit trails for our documents.""I like the cloud and its integrability.""The retention module is one of the most valuable features. Whatever we scan onto the system can be identified and we are notified when the records are due to be disposed.""We found the setup process to be okay since they do offer a troubleshooting guide.""The solution is very developed and we are not taking full advantage of its functionalities.""OnBase is a remarkable tool. It is a well-done product. Hyland has a lot of experience in building it and looking for new things for clients in terms of functionalities. It has amazing stability, and it can grow horizontally and vertically. It is built for growth. Their technical support is also quite good and available throughout the year."

"Allows us to provide desktop/laptop and mobile solutions to our users.""K2 is reasonably priced.""The most valuable features of this solution are that it's no code, it's very flexible, and it's easy to design.""It saves time as tasks are automated.""Out of box connectivity with UiPath.""Valuable features include workflows (escalation, reminder, LazyApproval, actions, etc.) and ease of use.""It has integration with BI and Analytics tools, and RPA toolsets as well.""The setup is easy."

Cons
"We need to troubleshoot why our reports didn't get downloaded in a day. There is a workflow feature which powerful but also complicated.""For user experience, they would have to do more with the interface. It is not easy to work with and is a little messy. It is getting better, but it is not yet good enough. Other products are comparatively doing better in terms of the user interface. I have been hearing about Box, which is very easy to use and learn for the users. OnBase has to work on this aspect. It should have BPM capabilities. We compete with tools that provide the BPM feature and support those standards. They can do better in terms of the pricing model. It is a really expensive tool in Latin America. They should have different prices for different regions.""The look and feel could be better. The integration with the user could be better. It could also be more user-friendly.""An area for improvement would be the training - getting our people up to speed on how to use it required more training than we expected due to the complexity of the solution.""We are struggling with duplicates and would like to have OCR functionality when using this solution.""The dashboards do have some room for improvement as compared to the other vendors which are there in the market."

"Converting a document from PDF to MS Word, or vice versa, needs to be improved.""We cannot use the same solution on cloud.""I think it was lacking a little bit in its multiple in-house processes and other processes. So there is a little bit of a gap in collaboration.""The management server and the admin page where you can manage processes need improvement.""Nintex seems to be very server intensive. It is one of the reasons that we are moving to a different product on the SharePoint 2016 platform.""I would also like to see the BPM features from Pega implemented, that have to do with the implementation of AI, and the robotics.""Currently, copying workflow actions from one workflow to another is not possible. Also, the Office 365 solution is not as mature as on-premise.""K2 is a workflow solution, and there is no RPA solution with K2. This is where K2 lacks a little bit. It is just a heavy workflow solution. It doesn't have a supplemental product like RPA. If you want to use RPA, you have to use Blue Prism, UIPath, or something else. If you use Nintex, it has an RPA solution. It is a form-based application, and they are doing everything electronically. The initial investment in K2 is heavy because it is a BPM software. It does not have a low cost because they charge you the same for one workflow or 100 workflows."

  • "Nintex products are expensive, but valuable. Licensing in on-premise was historically based on a perpetual model, where you’d license per Web front-end. However, they are switching exclusively to a consumption (subscription) model, where you purchase the number of workflows you think you’ll use in your environment, and can scale up from there."
  • "Offering a licensing model that allows for multiple small workflows would be a huge improvement to an already great platform."
  • "Our maintenance costs are reduced."
  • "The annual support costs are expensive."
  • "Comparatively, it's expensive."
  • "We pay on a yearly basis. It's my understanding that we pay approximately $11,000/year."
  • "The initial investment in K2 is heavy. Currently, the expenditure is $28,000 for a year. After we go to the cloud, it is going to be per seat and probably cheaper. Currently, there are unlimited users."
  • "There is an initial fee when purchasing and a fee for maintenance afterward."
