We digitize our content, place it into the repository, and share it across multiple teams. The problem with the technical support is that it is time zone-based.
Technical support is not bad. But the problem with the technical support is that it is time zone-based. So, if we have an issue that is brought across a number of time zones, this will happen: We'll start working with one technical resource; we'll finally start getting working on it when, all of a sudden that technical resource has to leave, and we have to start with the next technical resource in a different time zone. Then, we have to bring them up to speed with what we're doing, and so we lose a little bit of time. The fact that the same resource isn't on it for the entire problem sometimes is concerning.

Comprehensive, reliable, and adaptable
Implementing Documentum provides a more structured and reliable way of managing and accessing documentation. Documentum has given us a whole new infrastructure of people that we can sell our solution to. The user base is quite considerable. We have integrated Documentum with IBM Maximo and SAP. We work alongside all these systems and bring them together from the engineering point of view. We work with AutoCAD. We work with PDFs as well, which is more of a format than a system. These integrations are what our customers are looking for, and this is what we help them do more effectively. Documentum is very adaptable. We were able to port our solution across other platforms, such as Content Suite and XECM, because of the open nature of Documentum. It allows us to do that. We have enabled our customers to be able to access their engineering drawings more effectively, which led to more sales for our company and allowed us to be more successful. Documentum certainly facilitates our customers achieving their digital transformation. What they are looking to do is to make their engineering information more accessible. Documentum in conjunction with our solution allows them to do exactly that.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"The features that I have found most valuable include the Data Capture and Case Manager features."
"It is very stable and reliable."
"FileNet has the capabilities to meet compliance and regulatory requirements. It is very secure."
"The natural interpolatability with IBM Datacap, that is a key component of our solution, as well as with BPM, and WebSphere Portal. That's why we prefer FileNet instead of some other, less world-class solution."
"The ability to manage the content well."
"It is a user-friendly system and easy to manage for anyone with basic knowledge."
"We probably would not have seen adoption so strongly without it."
"It has increased our productivity."
"I appreciate Documentum's scalability, allowing for vast volumes of content storage."
"OpenText Documentum has improved availability and performance in our organization."
"OpenText Documentum's composition is good. It is convenient and straight out of the box."
"We primarily use it for storing documents. We host a variety of documents in OpenText Documentum. This includes raw files, analyzed files, and documents in multiple formats."
"The most valuable feature of Documentum for our content management needs is its ability to segregate access based on department and role."
"It provides possibilities for us to save documents and supporting the business process while doing so."
"The tool's most valuable feature is ACL, which helps to control the user groups that access the documents."
"The most valuable feature is the management."

Cons

"The analytics in FileNet are too complicated and they consume too much infrastructure, memory, and CPU. They're too expensive to work with."
"Our client feels FileNet does not provide them with content searchability. They feel it's cumbersome. They're only using Metadata. If the Metadata is not well-populated, it becomes a problem to retrieve a document."
"I would like to see the dashboard be a little bit more robust and a little more user-friendly"
"I would love it if single sign-on was a lot easier to set up. That's the most difficult part of it."
"I think some of the technical pieces, when implementing it ourselves, were something of a roadblock until we discovered the Concierge. Those are some things they have to work on."
"It could be simpler to use, considering multiple use cases."
"It would be nice if they could make it like containers are working in Kubernetes to auto-scale based on demand."
"I would like to have an offline DR deployment. If that is doable, then it would be a big win."
"One area for improvement in OpenText Documentum is its handling of outdated documents, especially technical ones."
"OpenText Documentum has a lot of scope for improvement in terms of adding some AI integrations."
"It should provide more tools to help clients upgrade solutions based on Webtop."
"An area that needs to improve is how to reduce storage space on the AWS site."
"OpenText Documentum is moving to the cloud, and I am concerned about the security aspect of it."
"Sometimes DocBroker cannot see the DocBase."
"The biggest issue for us is the price of the product."
"The product needs to improve the way documents are logged together. I believe running it on the cloud or containerization will bring value to it. The tool's Time to Market and deployment cycle need to be improved. Finding suitable training materials for OpenText Documentum is also a bottleneck. If we can find the training modules easily, we can bring together people, give them quick training, and start working on the deployment. It can help with quick outputs."

Pricing and Cost Advice

"The solution saves time and money. It helps us to be able to accomplish the goals of our business, as opposed to being tangled in the weeds of what we could do."
"We use extraction. Therefore, we can see 80 to 85 percent accuracy on data extraction. This reduces the manual indexing part, which is definitely a gain on performance efficiency."
"1. It will be more expensive than estimated to setup. 2. You will need to double the staff while you are running the old system and installing the new system. 3. Depending on the number of documents to be migrated, make sure you understand the potentially massive amount of time and effort required to migrate the existing content to the new platform."
"It has reduced operating costs by reducing the amount of manual work needed."
"The tool is expensive, and I rate its pricing a ten out of ten."
"The physical space that we have gained back pays for the service. Therefore, it has reduced our operating costs overall. We have definitely seen ROI. I would estimate $30,000 a year."
"The platform is inexpensive."
"Yearly, we pay for the maintenance, which is $20,000."
"It falls in line with a lot of things that are out there on the market. There is nothing extraordinary in terms of great or bad."
"OpenText Documentum has announced a new licensing model, which could be more expensive."
"OpenText Documentum's pricing is good."
"The price is considered affordable now."
"It is quite an expensive product."
