We asked business professionals to review the solutions they use.
Here are some excerpts of what they said:
Pros
"The solution offers very good integration capabilities. We've never had issues integrating it without solutions.""This tool is really helpful in reducing a lot of manual work. Its drag and drop components help to create a workflow faster than SharePoint Workflow Designer.""The SharePoint feature is a really good connection, there are many features that are good.""The workflow engine of K2 is its main strength. Its workflow engine is probably one of the best, and that's the reason why Nintex bought K2. It can clearly handle any complex process or scenario. K2 is almost low-code. It is a no-code or low-code solution. You don't have to read a whole lot of code. It is pretty much GUI based. Their support is also excellent. The biggest advantage of K2 is SmartObjects, which allow you to separate the data from the application. It is a standalone application that allows you to build a data source from different places, which a lot of other applications also do. It is called SmartObjects technology, which is pretty powerful. If I have data from different applications, such as JD and ServiceNow, I can just create a SmartObject based on a data source and use it. I have some forms that have six, seven, or eight applications in a single form with data from different places.""The most valuable features of this solution are that it's no code, it's very flexible, and it's easy to design.""I think that it adds value to any organization, mainly in terms of business applications where you need workflows.""The strength of this solution lies in its connectors and the accessibility of an open API. The presence of an open API allows users to create custom connectors if necessary, provided there is access to the source API documentation. Additionally, the platform features a straightforward yet highly effective forms tool. This tool not only seamlessly integrates with the workflow functionality but also facilitates the transmission of information to the document generation tool. This comprehensive integration is particularly noteworthy when compared to alternatives such as Oracle, which tends to rely on more complex and separate logic for similar functionalities. A key strength of Nintex lies in its user-centric approach to help documentation. The materials are designed to be easily understood, avoiding complex terminology. In cases where technical terms are used, they are linked to articles for further clarification. This contrasts with platforms like Microsoft and Oracle, which may employ technical jargon without clear explanations. Nintex further supports its users through a robust online community, fostering collaboration and shared insights. Additionally, Nintex University offers online training across all applications, following a role-based structure. Unlike some other platforms, Nintex's training is thoughtfully broken down into shorter courses, focused on specific roles. This approach ensures that users can efficiently access the information they need without navigating through extensive and potentially irrelevant content, as may be the case with Oracle's training structure.""It has integration with BI and Analytics tools, and RPA toolsets as well."

"OpenText Documentum has improved availability and performance in our organization.""The storage of metadata content, workflows, and life cycles are the most valuable features of OpenText Documentum.""It is quite good.""It provides possibilities for us to save documents and supporting the business process while doing so.""It stands out for its impressive records management capabilities and the ability to handle an extensive volume of documents, even reaching into the billions.""It has reduced the amount of paper documents; reducing time and errors in the process.""The most valuable feature is the management.""The most valuable feature is that it's a central repository for everything, whether it's videos, documents, Excel sheets, etc."

Cons
"Currently, copying workflow actions from one workflow to another is not possible. Also, the Office 365 solution is not as mature as on-premise.""While Nintex Workflow has pretty robust troubleshooting abilities, I think that improving the default logging and notifications would be helpful.""Unfortunately, Nintex Workflow is not that stable. We are looking at shifting to another tool.""We are currently facing a lot of issues with Nintex, and we are trying to move away from this solution.""Currently, a notable challenge lies in the alignment of user experiences across the eight or nine applications within the suite. Transitioning between applications can be somewhat cumbersome due to varying user interfaces. However, the provider is actively addressing this concern by consistently rolling out updates every four to five months, aimed at harmonizing and streamlining the interfaces. This ongoing effort is expected to enhance the user experience over time. In terms of functionality and features, the platform stands out, offering flexibility with the option for both on-premises and cloud deployment. This flexibility extends to the RPA tool, providing clients with choices tailored to their preferences. An advantage lies in the shared security and data infrastructure across the toolset, facilitating smooth data transfer between applications. This contrasts with experiences with Oracle, where data transfer may involve complexities such as the need for intermediary file formats like TXL or SCZ.""Heavy, cumbersome and inflexible.""The licensing needs to be improved. Right now, we find it's getting more expensive to use the product.""K2 is a workflow solution, and there is no RPA solution with K2. This is where K2 lacks a little bit. It is just a heavy workflow solution. It doesn't have a supplemental product like RPA. If you want to use RPA, you have to use Blue Prism, UIPath, or something else. If you use Nintex, it has an RPA solution. It is a form-based application, and they are doing everything electronically. The initial investment in K2 is heavy because it is a BPM software. It does not have a low cost because they charge you the same for one workflow or 100 workflows."

"OpenText Documentum has a lot of scope for improvement in terms of adding some AI integrations.""I would like to see performance improvements, especially regarding slow response times.""The documentation often leaves customers feeling somewhat frustrated, as OpenText seems to expect customers to remind them constantly about the need for better documentation, as they don't provide clear guidance on their documentation practices.""The product needs to improve the way documents are logged together. I believe running it on the cloud or containerization will bring value to it. The tool's Time to Market and deployment cycle need to be improved. Finding suitable training materials for OpenText Documentum is also a bottleneck. If we can find the training modules easily, we can bring together people, give them quick training, and start working on the deployment. It can help with quick outputs.""It needs a better UI and it should also be cloud-ready. The UI has not changed in years.""It's difficult to manage and customize Documentum.""An area that needs to improve is how to reduce storage space on the AWS site.""Sometimes DocBroker cannot see the DocBase."

Pricing and Cost Advice
  • "Nintex products are expensive, but valuable. Licensing in on-premise was historically based on a perpetual model, where you’d license per Web front-end. However, they are switching exclusively to a consumption (subscription) model, where you purchase the number of workflows you think you’ll use in your environment, and can scale up from there."
  • "Offering a licensing model that allows for multiple small workflows would be a huge improvement to an already great platform."
  • "Our maintenance costs are reduced."
  • "The annual support costs are expensive."
  • "Comparatively, it's expensive."
  • "We pay on a yearly basis. It's my understanding that we pay approximately $11,000/year."
  • "The initial investment in K2 is heavy. Currently, the expenditure is $28,000 for a year. After we go to the cloud, it is going to be per seat and probably cheaper. Currently, there are unlimited users."
  • "There is an initial fee when purchasing and a fee for maintenance afterward."
