We are a small full remote team. As we grew, the complexity of projects grew as well as the number of projects. Monday helped us scale easily, understand bottlenecks, and plan accordingly. It's also been a life saver as I don't need to remember anything. It's all on Monday! We've totally moved away from emails.
It gives managers a clear view on how projets are moving forward and they are able to give support where needed without having to constantly follow-up.
Board templates are really good when you have recurring projects.
Automations are perfect to save time and remind people of various tasks.
Overall the product is really good and can adapt to any team with specific columns for each board.
"My Work" gives you a great view of all the tasks that are due and upcoming.
The dependencies and Gantt chart could be better. I would love it to have personal views with hidden columns per board. Sometimes it can get quite overwhelming.
I'm not a big fan of the new left panel organization by workspace. Maybe this is due to the fact that we are in a small business.
We'd like to send emails via Monday. Ideally, being able to cc Monday tasks from our mail account could be better. (ie. sending attachments, being able to cc the task with people not in Monday (they received an error message when replying).
I'd love it if their could be feature to plan for work time for a task (not a timeline as it shows in your "My Work" view)
We've used the solution for three years.
Stability is pretty good. Every now and then server is down.
The scalability is very good although it would be great to have more onboarding videos.
Technical support is super helpful and very fast to respond.
Positive
We did not use solutions.
The initial setup is super straightforward. We imported our Excel files.
We handled the setup in-house.
The ROI has been very good.
We looked into Asana, Trello, and Notion.
We primarily use the solution in our digital marketing agency. We provide services in design, video production, advertising, and web development. Also, our team is often trying to launch our own projects.
On Monday, we manage our human resources, our equipment as cameras and lamps, distribute the workload, and plan tasks. In addition, we have automated our financial statements, and keep records of sales, contracts, and communication with customers.
I really do not know of any process in our business that does not go through Monday, except that we sometimes communicate in Telegram.
Now all our processes are in one tool. This saves the team time and energy.
Before that, we tried different systems, including industry solutions, however, they did not bring so much pleasure to the work. They were enough for a couple of months, after which they turned into a garbage dump.
Monday is so flexible that even we are not as flexible as it is. Any idea and change in the organization are implemented in a couple of hours. It helps a lot to try more, make more mistakes, and come to the right decisions faster.
The most valuable aspects include:
1) The mirror column which turns Monday into a serious interactive database that can cover all our processes. We have linked all aspects of the business together and there is no more duplication of data in the tables. This is difficult to do if you have never designed a database. In our case, we immediately realized that the mirror column allows you to make boards and powerful systems.
2) Guest access for the client significantly increases their loyalty and understanding of the value of what we do for them.
The solution could improve:
I've used the solution for two years.
Just once we had problems with the connection. However, they are progressing in that field.
The solution is very helpful. The product is so intuitive that we very rarely need support.
Positive
We did use other solutions, including:
At first, we didn't understand the full depth of the product. After a while, we realized that everything is possible and more.
I did the initial setup by myself.
For us, Monday is an inseparable part of our business.
I'd advise people to use the pro version only. It's pointless to buy the others.
We evaluated ClickUp.
New users should find a person who understands database design. It will help you use the capabilities of Monday 300% more.
We are a small marketing team of about five. I was the first marketing hire. I chose Monday out of a variety of other solutions as I liked the flexibility of it and my product designer liked the look of it.
I started managing our strategy and goals in here so our team could stay connected even though we don't live near each other or go into the same office or work in the same room. It helps us all look at the same goals and stay connected to the same mission so we are all moving in the same direction.
In short - it keeps a remote asynchronous team in sync. I keep our quarterly goals on their own board, then our monthly goals, then our weekly team items. Each function also has its own boards. For example, website development has its own project management board. SEO has its own rankings board. Our content calendar is on Monday with a space to track ideas and another space to track existing SEO rankings of published blogs and articles. Our department head and CEO can check Monday at any point to see where we are at with our marketing strategy and plan and see what the team is doing.
The templates are extremely valuable. I wouldn't know where to start when creating something new. I like the variety in templates and the ability to customize pretty much anything. Assigning owners is also helpful. Everyone can filter the board by themselves to just see items that relate to them. The filter options give each team member a bit of brain space and allow them to prioritize what is meant exactly for them. I also like the docs to be able to brainstorm free flow, but wish they had some updates so they could be more usable.
The docs could be improved. We need docs where we can manage content management inside of Monday. Ideally, even being able to loop in some basic SEO in a panel on the side like Frase.ai would be a powerful solution and would make it difficult for businesses to pull out if everything is managed inside of Monday.
It would be nice to see changes made, who made them, and have an approval process similar to Google Docs. Having a panel where you can pull in whatever integrations (like Frase) could help you create documents.
The more integrated people are into the product, the better.
We need the solution to integrate with Craft. We might have to switch to Airtable as the solution doesn't integrate with Craft.
I've been using the solution for two years.
The product is very stable.
The solution is very scalable for large teams.
I've never used technical support.
Neutral
We did not previously use a different solution.
The initial setup is simple.
We did the implementation using our in-house team.
We've seen ROI across the complete organization. I don't have a number, however, we need Monday to operate
We looked into Airtable and Google Tasks.
I use Monday.com as a CRM and a project management tool for my business and my client's business. I've been using Monday.com to create my own to-do lists, manage the performance of my investments, and as a journal of sorts.
When I take a call or a meeting, I can use the time-tracking feature to log the duration. Then I write an update to remind myself of the meeting details. I can highlight any action items for myself and quickly recall what was discussed at a later time. I can house countless meetings and notes under one line item ("communication") and keep things super organized. Even if I can't remember all of the details and deliverables from meetings and calls, I know where to look!
Monday.com has so much versatility I almost can't think of anything that it doesn't have a use case for. This has allowed me to house business and personal information in one single place, which has automatically improved my organization.
The reason I feel so comfortable with Monday.com for personal use as well is due to how seamless and intuitive the app experience is. Knowing I can access all of my data from my phone really helps me stay organized.
For me, it's the little details that just make like easier. Things like dialing a phone number or sending an email with a click of a button on both my computer and my phone. There's no need to right-click or press and hold to copy and paste. You can do it in just a click! I love that.
I love the time-tracking feature. It allows me to see where my time and energy are going, line item-by-line item. When it's time to reflect and make adjustments, I can be definitive and decisive. I wish the time-tracking column integrated with the workload widget so I can manage my team based on the actual time they've worked rather than estimated time [they will work].
I love that we can mention anyone on our team and everyone on our team from anywhere within the product. If this feature wasn't available, we'd have to all work from the same board to communicate. I'm becoming overwhelmed just thinking about it. I'm glad we have this feature.
The workload widget should work with the time-tracking column for more accuracy in managing team resources. This would allow us to take preemptive measures against team member burnout by seeing who is putting in a vast amount of hours at a glance. Conversely, we would also be able to see who isn't working very much, at a glance. We could check in and see if they need additional direction, resources, or support.
It would be phenomenal if Monday.com could support voice notes like What's App and Instagram do. This would take team communication up a notch for sure.
I've used the solution for about four years now.
This is a stable solution and they are here to stay.
The sky is the limit when it comes to scaling.
Customer service and support are always a pleasure to interact with as they don't give out generic responses and replies. They want to understand your specific use case and help you troubleshoot based on your vision.
Positive
Most people were recommending Asana and Trello, however, during my research I found Monday.com and trusted my instincts and went with them. I've never used another solution.
The initial setup is not complex at all.
I've seen a 10X ROI.
I'd advise new users to understand the various user types that Monday.com offers so you can choose the price, plan and seats that really fit your needs.
Monday.com has great webinars and free trainings. Check them out! You'll get inspired with other ways to use the product.
I run a marketing team that utilizes Monday.com for all facets of marketing and creative, including: graphic design, web design and development, copywriting, photography and videography, online syndication, radio scripts, and much more.
We have a team of 13 people with a variety of skills and backgrounds. We utilize Monday to log all of our projects and to keep on task.
I particularly use it to see our team's workload and ensure that I assign tasks and deliver all necessary information to the team members when we initiate projects.
Monday.com is our central hub for project management and keeps our team on track to deliver assets to our clients on time and facilitates collaboration between our creative department and stakeholders alike. We use Monday to gauge how many projects each team member can handle at once for scale, to determine how often deadlines are hit or missed, and to centralize our entire task load into one place allowing visibility to all team members and management. We utilize the functions in Monday.com to see how many tasks we receive from each of our clients, what types of tasks are coming in, and keep track of our team members' productivity. Without Monday.com we would be lost.
The customization of dashboards and the ability to see all tasks from a bird's eye view, along with the ability to categorize types of tasks and which clients have requested them to allow us to use the tool to know how much workload we can handle, and at what point we need to add more resources to our team.
We use it to log projects and tasks. It provides us with data to know how and when to scale. We see which team members are heavy on tasks and if we need to add more resources in the future with certain backgrounds - graphic design, web development, etc.
The user experience of Monday.com is exceptional. It's very easy to navigate and customize to our needs. It's an outstanding product.
We'd like to have the ability to start a screen record or screen grab that a user can initiate from Monday.com. Then we could start a recording or screenshot directly from the project management tool and upload it directly into a task. If it needs to be redone, you simply don't attach it. If it's good to go, post it in the task and tag the needed resources to see it.
A ticketing system for outside users should be researched. We currently integrate Typeform into Monday.com and have outside clients make requests there that populate Monday with the details. Monday.com should create its own ticketing system so clients can make requests that assign to our team, receive a ticket number, and get updates as we move the project along. Once the project is finished, the requestor receives an automated email letting them know it's complete.
I've used the solution for two years.
This is a very stable solution for growing a business, and with the ongoing updates, it continues to improve.
My opinion is that Monday.com is a fantastic tool for scalability.
We have not had many reasons to contact support, however, when we have they've been extremely helpful and efficient.
Positive
We previously used Wrike. It was a good product and we adapted to its capabilities. The customization of Monday with the dashboards promoted us to make the switch to Monday.com
It was simple and straightforward to set up. There were a few learning curves, but the video tutorials were very helpful. Once we got a solid understanding of the functionality, it was very easy to use.
We used an in-house team.
ROI is difficult to calculate. We use Monday.com to organize projects for roughly 20 clients. Whatever the number is, it's extremely favorable and a very solid investment.
I'd advise new users to think ahead to how many users you might want to integrate into this tool. It has great capabilities and functionalities and can be integrated into more than one department for organizational workflow. Consider how many people in the organization can use it to improve workflow and err on adding more users than not.
We did not evaluate other options.
I work at an architecture firm with 12 employees, two offices, and one fully remote employee. We often have 20+ projects going at any given moment, of varying scales.
We utilize Monday for project management, project schedules and tracking, and office production scheduling. We use it for a bird's eye view of projects as well as more detailed down to individual tasks per project, depending on the project. We also create a production schedule each week using Monday to assign project tasks to each employee.
It has allowed us to keep track of everyone's tasks and organize which personnel is working on what and for when, as well as track deadlines and tasks more efficiently.
We are able to compare project timelines and see where due dates and deadlines may overlap so that we can properly space out project schedules and properly staff the right people on the right projects at the right time.
It also allows project managers to keep track of the tasks needed to be completed on any given project and assign those tasks to any given employee.
The features our company has found most valuable are the timelines, the calendars, and the Gantt Charts.
Within our company's workspace, we use these features to create production schedules, project schedules, allow employees to make production requests, and make task lists and track their progress. We even use these for general office concerns, lists, and organizing events.
The ability to assign members to tasks and then have them update the status on them and even ask related questions under the task has been very helpful. The company has absolutely benefitted from this tool as a project management tool and is great for remote work as well.
As a new hire, it was a bit complex for me to learn and understand how to use Monday. Part of that may be due to the complexities in which my company uses it, and part of that may be due to Monday. The user interface was a bit daunting at first. Although it makes sense to me now, it was hard to follow in the beginning. Now, I enjoy using it and find it very beneficial.
In the next release, including a chat feature would be incredibly beneficial. We can comment back and forth under certain topics, however, being able to chat/instant message individually, per project, and company-wide would be helpful.
I've used the solution for approximately one year.
We are unsure of the stability as management has more knowledge in this department.
I have only been at the company a year. I am not sure what was used before.
I'm unsure how the setup went. Management has more knowledge in this department. However, setting up new boards and spaces is a bit complex even for me.
The setup is handled in-house.
I'm unsure of the ROI as management has more knowledge in this department.
I do not have much knowledge regarding pricing/setup/licensing as my company's management takes care of that, however, I imagine setting it up to be perfectly tailored to our company took some time.
I run a small company with a virtual team spread across three countries and three different timezones. We manage all work through a range of boards on Monday. Whether that is projects like the translation of an online course, or ongoing tasks like keeping track of which expenses are missing receipts in our bookkeeping software, to a recently developed social media posting calendar we are moving more and more towards Monday.
We are also looking at customer support (tickets) and a board for company objectives and KPIs.
Monday.com has made it much easier to keep track of a wide range of tasks whilst we have a team distributed over multiple countries and timezones. It saves a huge amount of email and people can update their tasks when required. Others can review progress or comment on it. It also allows my team to progress work with myself only having to be involved at the last step to review and approve.
We are progressively also saving money as we turn off other software platforms and move as much work into Monday. We recently turned off an expense social media scheduler for a combination of Monday and Canva (which we already had).
I love that on Monday.com I can invite as many 'guests' into our account as I need, that has made collaborating with freelancers much easier and more cost-effective. This was one of the key reasons I left another platform - it was simply to expensive to add freelancers as they all required their own paid access. With Monday.com I can have my core team with full paid access and then get as many freelancers onboard as required when we are working on a project.
There is also a continuous stream of improved functionality that opens up new possibilities.
Without having to go to the Enterprise level, I would love to see better:
Access controls so that we can securely build boards that we can share with clients to manage their work/projects (and in our own branding and own URL).
Integration with SharePoint so that it becomes easier to find and share files stored in SharePoint.
Integration with Canva so we can add a URL from a Canva design in our social media planner and it automatically shows a preview of the post image without having to also attach the Canva design as a PDF to the item on Monday.
I've used the solution for almost three years.
The stability is excellent.
The scalability is excellent.
I did reach out to support once or twice and they were helpful and fast.
Positive
I used Asana before and I switched as it was too expensive to have freelancers or ad hoc users (they all needed a paid account).
The initial setup is simple.
We handled the initial setup in-house, however, I did reach out to support once or twice and they were helpful and fast.
ROI has been very good.
When you put in some time and effort to understand what is possible and encourage your team to explore and play around, it is quite amazing how much you can do with the product.
I work for a small digital marketing agency. We use Monday.com for almost every facet of our business - from managing all of our website design and graphic design projects to Customer Relationship Management to website maintenance requests.
I personally use Monday.com for managing all the details of our website design projects. Given that these projects have hundreds of tasks across many weeks, incorporating Monday.com into our workflow has not only made our lives easier it has also given our clients a level of confidence in being able to see the project fully planned out.
Monday.com has been a massive step forward for our team in terms of boosting efficiency and productivity.
It provides an easy-to-use platform for us to track the many details that go into a website design project and easily house all of our communications with our clients.
Before using Monday.com, I was using a lot of checklists and relying on email communications - which was very time-consuming. Having everything in one place so the client can easily get a global view of the project and when to expect things from our team allows us to manage more projects and ultimately earn more revenue. At this point, I wouldn't even know how to function without this tool.
I love the automation and level of customization available for the automation. It really helps us all stay on track and on top of our deadlines.
I love the Gantt chart view which allows me to see where projects will potentially overlap or where individual team members may have too much on their plate. Monday.com allows me to see ahead and plan ahead so we can minimize frustration while maximizing our output.
I love that I can easily duplicate boards - which is a huge time saver when I'm setting up new website design projects.
I would love it if there was a way to update multiple cells at once with the same data point. For instance, if I have 20 items that all have a deadline of 3/24, I'd love to be able to update them all at one time rather than individually.
I would love to have a way to hide an entire group within a board from the client for internal conversations. This may exist; I just haven't figured it out yet if that's the case.
Honestly, those are the only two things I have run into, other than that, I have everything I need.
I've used the solution for more than two years.
It seems very stable.
My impression is that it is highly scalable. The more you use Monday.com, the more ways you will find to use monday.com.
Anytime we have a question about Monday.com, the support team is quick to respond.
Positive
We previously used Basecamp which was also nice, however, we felt that Monday.com offered a much more robust offering that could be used across many more facets of our business.
We had previously used Asana (as a guest) on some of our client's accounts. We preferred Monday.com's interface and functionality.
I didn't personally do the setup, however, it is my understanding that it was straightforward.
The setup was handled in-house.
I could not put a number on ROI, however, I know it has improved our efficiency which allows us to take on more projects.
The money that you spend on Monday.com is well worth it. It will likely pay for itself in terms of the time it will save you.
