We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros
We were able to meet all of the requirements for functionality that were specified, and we did not experience challenges where we had to compromise on functionality. It has helped us a lot, especially during the initial phase of a project where most of the things are done on paper. It creates workflows to handle business processes. It allows us to route approvals to users without human intervention. Our solutions using Nintex has been most successful in automating HR processes because it allows you to easily and rapidly build solutions that conform to the unique business processes for each entity. This tool set makes it easy to integrate current processes and increase adoption rates and usage for the tool, as well as the process changes to update it on the fly.It provides data accuracy with fewer failures. It saves time as tasks are automated.Only Nintex has the feature which allows attachments to an email.

The most valuable feature is that you can customize it completely with all of the attributes that you need. This solution is innovative and simple to use. This product has helped us to work within standards for process planning. The collaboration hub is good because it allows us to share the models that we've captured and to get comments back, and we don't all have to be in the same room, it can be remote and over time.I love the collaboration function, especially the option to invite people who don't have any users on the licenses. It is possible to do the whole drafting process at the same time in Sagnavio so you don't have a double effort of writing it once, arranging it and entering it again. The features I find most valuable are ease of use and the Collaboration Hub.The GUI is very easy to use, where you can sit together with your colleagues, discuss the process, and during these discussions you can build up the model.

Cons
The security features for this solution need to be improved. We are currently facing a lot of issues with Nintex, and we are trying to move away from this solution.Nintex seems to be very server intensive. It is one of the reasons that we are moving to a different product on the SharePoint 2016 platform.Bring all features available from the on-premise product into the cloud version and the workflow error reporting.Converting a document from PDF to MS Word, or vice versa, needs to be improved.User interface could use some improvement. Perhaps integration with Visual Studio or SharePoint Designer would be useful.Currently, copying workflow actions from one workflow to another is not possible. Also, the Office 365 solution is not as mature as on-premise.While Nintex Workflow has pretty robust troubleshooting abilities, I think that improving the default logging and notifications would be helpful.

We would like a better way to give users the correct permissions for processes, whether to view or design.I would like to see more integration with the process manager in terms of the workflow accelerator. There is always room for improvement is the capability of integration with other solutions. The performance metrics appearing in the collaboration hub needs to be improved. The user administration, the user-group administration, and the license models need improvement.Part of the product that I think can improve is document control. That's currently not even possible. To work with documents we have something of a workaround using SharePoint.Customized reporting can be improved to make this a more versatile tool.I would like to have the option to select the color of items and subgroups in the glossary because right now it is fixed.

Pricing and Cost Advice
The annual support costs are expensive. Our maintenance costs are reduced.Offering a licensing model that allows for multiple small workflows would be a huge improvement to an already great platform.Nintex products are expensive, but valuable. Licensing in on-premise was historically based on a perpetual model, where you’d license per Web front-end. However, they are switching exclusively to a consumption (subscription) model, where you purchase the number of workflows you think you’ll use in your environment, and can scale up from there.

I think we're spending about $150,000 a year on licensing costs.I think that the price of the licenses is between $2,000 USD and $3,000 USD per license per year, plus the hub usage. I cannot remember the exact cost, but it is affordable. My client purchased one editor license and the collaboration hub, which covers up to a hundred people. This solution provides really great value for the money.Lower than the competition with highly flexible licensing plans.
