Omada Identity Room for Improvement

Omada could make it a bit more convenient to send emails based on events automatically. Having that functionality is critical for us to maintain transparency. I would also like more out-of-the-box API connectivity for REST services, etc. They already have something, but it could be enhanced.

There seem to be many different and complex ways to do things in Omada Identity. I would like to simplify how configuration is done and also have fewer different ways of doing things. The solution should be made more agile for customers to own or configure.

Omada Identity needs to invest more in analytics capabilities. Currently, identity and access analytics are add-ons that you do in Power BI on the side. It's not a part of the product, and it's not directly accessible to the customers. I would like to see identity analytics capabilities in Omada Identity.

There's a challenge with handling large amounts of data in this system. When we need to delete data, for example, we can't delete it all at once. You have to delete it in small batches, with a limit on the number of records per deletion. This is cumbersome for working with mass data, even though it might be acceptable for handling single records.

This limitation seems like an architectural flaw in the system. While it might be okay for individual data points, there's room for improvement when it comes to MES data. Ideally, we should be able to archive or upload all MES data at once, not be restricted by limits like 500 or 1,000 records. This limitation creates an unnecessary obstacle when working with large volumes of MES data.

The user interface could be improved. The interface between Omada and the user is mainly text-based. One of the demands that our management had for the new IDM and IGA system was that it should look like the interface of Microsoft products with a nice graphical interface. We struck that requirement from our list as soon as it became apparent that none of the products offered a nice graphic interface. They are all more or less textural. Interface-wise, it can look a little bit smoother, more like the 21st century.

It does not have a sharp learning curve. New users of Omada to whom we provide this service find it very easy, which is a plus. On the backend, using Omada and building and programming features have a steep learning curve. You need a very good technical background, but I guess this is how it is. This will not be changed or improved because this is the way the system works.

Out-of-the-box connectors were available for the applications that we needed. Only the integration with Microsoft Teams was not ready when we started implementation. We had to build things ourselves for that, so the connection to Microsoft Teams could be improved out of the box. It might have already improved. Our system is already built, so I do not know what has been added to the out-of-the-box functions. I would rate the integration that Omada provides an eight out of ten.

If a compnay is running Omada on a cloud service, there may be some issues deploying the newest release. Sometimes, the latest release doesn't adapt to companys processes already installed with some cusomization.

The documentation of new upcoming features for a new release is very user-friendly and hands-on. New features have to be discussed regarding company's guidelines for architecture, security and compliance.

New processes  - as a new request access process - need to be discussed and shown before deployed on the productive system.

Omada's performance could be better because we had some latency issues. Still, it's difficult to say how much of that is due to Omada versus the resources used by our other vendors in our on-prem environment. Considering the resources we have invested into making it run well, it's slightly slower than we would expect.

Also, when we discontinued our previous product, I didn't think we set up all the processes in the best way possible, so we needed to do a lot of work to improve these processes to ensure that the processes worked. Everything is fine, but I don't think we had the best support initially. I believe they have improved since then. The initial stages are extremely sensitive for us, and it would have been helpful if the deployment was smoother.

There are some technical bits and pieces that we have looked at that could be better. For instance, when you do a recalculation of an identity, it's hard to understand what was incorrect before you started the recalculation, and which values are actually updated.

Right now, all you see are all the new fields that are provisioned, instead of seeing only the fields that are changed. This makes it hard to understand the situation before you started it, compared to after. This is one of the key features that I'm really missing.

Also, the onboarding of applications could be easier. There could be workflows to go through the entire process of onboarding a new system or application, instead of having to go to three places to do it.

Those are the two key improvements needed.

Also, the connectors for the applications that we use are good, but not fantastic. This is constantly improving. Recently, they added a ServiceNow integration, so there are still new connectors coming. But there are a few systems that I would like to see on the list, systems that are not there today. We have two ERP systems: SAP and something called Infor M3, and the latter is not there. It's okay, though. Maybe some of the other companies we evaluated have even more connectors, but Omada was good enough for us.

In our organization, all the data is event-driven, which means that if an attribute is changed in the source system, it can be updated within a few seconds in all end-user systems. There is room for improvement in Omada regarding that. Omada is still batch-based for some processes, so sometimes it can take an hour or even four hours before the execution is run and the update is sent. We know that 100% real-time synchronization is not possible. There is always a delay because of system utilization and things like that, but we try to achieve near real-time. If someone is locked out for a reason, we want to find the reason, resolve the issue, and resume the access for that user to enable him or her to log in within a few minutes. With Omada Identity, sometimes, it takes a quarter, and sometimes, it takes more than an hour. It sometimes also takes more than a day before access is given back to their user. There is always a good explanation for that, but that does not bring us as real-time as we want it to be. In the future, Omada should move towards a real-time and event-driven system.

We are still on Omada on-prem, but I understand that when Omada is in the cloud, you cannot send an attachment via email. We have some emails with attachments for new employees because we have to explain to them how to register and do their multi-factor authentication. All that information is in the attachment. People have to do that before they are in our system. We cannot give them a link to our Intranet and SharePoint because they do not yet have access. They have to register before that, so I need to send the attachments, but this functionality is not there in the cloud. They say it is not possible to add an attachment to the email, but for us, it is very important to be able to do that. I heard from my consultant that they informed Omada about this bug, but Omada said that it was not a bug. That is a bit of a shame. They should look before they say no because if it is a bug, people can work around it with PowerShell or something else. However, it is always better if you do not have to work around it because then you have a layer of PowerShell scripts around Omada to get it working, and I do not think that is how it is meant to be.

When there is something wrong, you have to look at the error code book in Omada, which is very difficult to read. You sometimes get an error, but the message in the error does not say anything. It does not help you to know what is wrong. For example, today, I did a survey, but the email was not sent. I do not know why. We did the same in the test environment and then moved it to production. In the test environment, emails were sent, but in production, emails were not sent, and I cannot find out why. There is also no error. It is sometimes difficult to know why things are not working. It should be easier.

Generally, I find the whole solution to be very good. But the way errors in the system are handled could be improved. If you find an error and you need it fixed, you have to upgrade. It's not like they say, "Okay, we'll fix this problem for you." You have to upgrade. The last time we upgraded, because there was an error in a previous version, we had to pay 150,000 Danish Krone (about $24,000 at the time of this review) to upgrade our systems. This is a very big issue for us because 150,000 Krone is a lot of money. And because we have production, test, and developer environments, we had to upgrade them all. The fact that we can't have an error fixed but, rather, we have to upgrade, annoys us a little. That means that we have to pay to get errors fixed that Omada has made in programming the system. I hope they change this way of looking at things.

Error handling can be improved. From an on-premise perspective, internal support can be improved. It is quite a technical and difficult application to maintain. A very specialized skill set is required to operate and maintain it, which is the most difficult part. The process to upgrade versions is also quite tricky.

One thing that we are not so happy about is the user interface. It is a bit dated. I know that they are working on that, but the user interface is quite dated. Currently, it is a little bit difficult to customize the user interface to the need of the business, which is a little bit disappointing. It needs it to be a little bit easier to operate, and it should have a better user interface.

Their technical support is good, but there is room for improvement. It is not an easy product to support. They helped us set it up a little bit, but it gets difficult for them to handle more complex problems.

The UI design needs improvement. One or two years ago, Omada changed its user interface to simplify, but the simplification has not really kicked in. UI design is something that can be improved.

We do not use the reporting capabilities of Omada. They can improve it and provide very cool automated reporting for us to use.

AI capabilities are another area of improvement, but I know that is already on the roadmap. They want to enrich AI mechanisms into role management and help requesters get to the role they need. That is definitely a thing to improve.

Certain things are unclear to us. For example, in situations where you can only request an access if you are a member of a specific department or if you are participating in a certain project, we are unclear about how to resolve such restrictions. We have some restrictions where you need to be a member of a special project in order to get access. We have restrictions on which accesses you can apply for, based on the context that you are a member of.

The comprehensiveness of Omada's out-of-the-box connectors for the applications we use could be better. We are getting a new HR system called Cornerstone for which they do not have an out-of-the-box connector, so we have to take the REST connector and play around with it. We might be the only Omada customer who is using this HR system. I would love to see more connectors.

The account management integration isn't bad, but it isn't plug-and-play like Microsoft Azure. You need some deep development knowledge to set up the connectors. Omada has out-of-the-box connectors, but it's still a little complicated. I want to connect to the system with something like a "next, next, finish" installer.

Omada provides a clear feature roadmap, but they could be more transparent and flexible in the schedule. Omada's SmartMap can show us the way to go. However, we haven't implemented that system yet.

The roadmap that Omada Identity provides for deploying additional features is adequate, but it would benefit from more frequent communication with its customers. They occasionally hold advisory board calls where multiple customers participate. During these calls, they discuss the roadmap and what they're working on. However, they also have several community forums. Frankly, most people don't have the time to monitor all those resources for updates.

While the Omada certification survey is a helpful tool for verifying user roles, creating the survey itself can be challenging. The process is not very user-friendly, and the available documentation is not sufficient to get started easily. For more complex surveys, it may be necessary to resort to professional services.

Omada's reporting functionality is limited and could benefit from greater customization. Unlike other solutions that allow users with SQL knowledge to create tailored reports, Omada restricts users to pre-defined reports offering only generic data that may not be relevant to specific needs.

Omada currently forces users to install the newest version. We would appreciate the flexibility to choose an earlier version, such as the one preceding the latest release.

Improved traceability would be helpful for administrators. For example, let's say a user's permission is being revoked. We can only see the system that has carried out a particular action but not what triggered it. If an event definition or something has changed in the criteria for the permission being removed or something like that, we don't have immediate access to that information. It takes a little detective work.

I would like more training. As someone who is new to this world, I don't feel that the courses Omada provides are good enough. They should also improve the documentation. It is difficult to learn how to use the solution by yourself. In general, the user interface isn't user-friendly or intuitive. In some cases, it's extremely easy to delete critical information. Omada Identity has two main issues that need to be solved or improved the most. One is its setup or installation process because it's complex and cumbersome. I'm talking about the process for on-premises deployment because I've never tried the cloud version of Omada Identity. Setting up the cloud version should be much easier.

The second area for improvement in Omada Identity is that it's piggybacking on Microsoft's complex way of having all kinds of add-ons, extensions, or setups, whether small or large, such as the new SQL Server, and it's cumbersome to make sure that everything works. Omada Identity is a complex solution and could still be improved.

What I'm expecting in the next version of the solution is a makeover of its user interface. It's supposed to be available in the new version of Omada Identity.

As for additional features, what I'd like to see in the future from the solution is a visual designer of all processes, for example, a visual designer of all the task mappings. I've seen it in Novell Identity Manager before, and it was way easier to understand.

Omada could communicate better with us about the product roadmap. We haven't gotten any updates about it. The user interface is often a bit difficult to understand. It isn't optimized for small screens, so it doesn't display all of the information clearly, so users need to scroll a lot.

The configuration could also be simpler for our admins. For example, it could have some configuration assistance or preset out-of-the-box functionality because it's complicated to enable new features.

I am unable to connect our organizations' tables and our partners to create a report in the solution. Sometimes you have to connect two different tables of your report. For now, I make a report for one, then I make a report for the other. After that, I combine them in Excel, but this is time-consuming. We are waiting for the newest version to come out at the end of the month.
