Google Workspace Valuable Features

Jan-Kobza - PeerSpot reviewer
Account Manager at a tech vendor with 10,001+ employees

Google Mail lets you link a task to a specific email and add a reminder. That's helpful for reviewing your schedule. It's based on Slack, so you don't have these folders like in Microsoft mail. Using Slack instead of folders is a bit more intuitive. It's easier to find again a specific email than using Microsoft Suite. If you misplace things, it's much easier to find them because of Google's search capability.

First, not many competitors can do precisely what Google Workspace does in terms of email management and calendar management through its Gmail and Google Calendar apps.

For example, its closest competitor in the email management niche is Microsoft Outlook, particularly the personal email that has @outlook.com as part of the address, which isn't as fluid as Gmail. I find Gmail very seamless.

I know you can't compare Google and Apple, but Gmail is the iPhone of smartphones in terms of seamlessness. I prefer Gmail as an email system over other email solutions.

The most valuable aspects of the solution include real-time collaboration. Features like shared documents over the cloud allow access to the team and can be accessed across the globe. The collaboration capabilities allow for the real-time execution of document drafting in parallel with the other team members, which reduces the overall duration of the completion of the activity. Reviewing docs gets easier thanks to real-time access. It also boosts productivity and the confidence of the team members as there is no way you can lose your document.

There are a lot of apps and features that make it easy to share. There's Google Meet and Sheets, for example. You can use them everywhere, and there are even some free licenses. However, we've been using Google Meet for meetings, as many employees work remotely. Even my manager is actually working overseas. We continuously use Google Meet for meetings or Sheets for anything we need to share. These two apps, aside from email, are what we use most.

The initial setup is simple.

G Suite Enterprise provides many features, such as business increased search visibility, email address, and domain. It's a large whole ecosystem that is the major benefit. You can manage your whole team and have many tools. Over seven years, the solution has gone through some drastic upgrades and improvements which are done automatically, I do not have to manual upgrade.

These types of solutions were code-heavy five years ago, but if you're to recreate it using the no-code environment, they're not only growing in that perspective they're also growing the AI. "How do I handle the data at the end of it?" HubSpot is not growing those services.

This is quite a typical solution in the sense of the standup email functionality. The convenience is being able to collaborate on Google docs at the same time on the same document without any issues figuring out which is the latest version. I also like the integration of documents, Google Drive and Gmail. We use Google Meet, and obviously Google Calendar. It's a good integrated environment and I use all the different components. The collaboration functionality in the cloud and in terms of working on documentation makes it all very convenient. It satisfies our needs as a small startup company that has quite ad hoc usage.

Everything is synchronized across every single device you use to access G Suite. That is why we like it. Also, the apps are intuitive, easy to use, and highly responsive. Gmail and the Chrome browser are the two tools we use the most. We also use Google Drive to upload and store files online.

Many of the other tools are useful. I often access YouTube for personal use, but I seldom use Google Maps because I prefer Waze. Instead, I use the translator and the tool for managing photos. I use Google Keep for taking notes and also Meet because, in the business world, you need to use various tools to host web conferences with customers, vendors, and for personal use. I don't use Google Hangouts, though.

Personally, I find that Google meetings and the Hangout application are much easier to use than Microsoft Teams. If I send a customer a Zoom invite or a Google Hangouts invite, it's easier than joining a Teams meeting where an alternative account of mine might be chosen causing confusion. It means I have to close the program, exit everything, restart, log into the correct email address, and then rejoin. It's complicated. Hangouts is easy, and if you have more than one Google account, you can choose which account you wish to use. These days, more people work for more than one company, so it makes sense to be able to switch between accounts, depending on who you're engaging with.

Working on documentation and the revalidation of formulas in their sheets application are both hugely valuable. I don't use as much some of their native version management. The features that I like the most are the centralized contacts, labels, the way that you can use Gmail from the web browser directly, and the accessibility from Chrome.

Gmail has been made for Chrome. When you have Chrome, you don't have to add mail software.

There is a feature that people don't use a lot, and that is the multi-factor authentication. MultiPass Fido Security keys were the first to propose this built-in feature, but if you are using Microsoft, for a single sign-on authentication, you have to purchase another product like Okta to get a single sign-on and high-security authentication.

G Suite and all of Google were the first to have a built-in multifactor authentication without needing to purchase another product.

The email, we believe, is what we like best. The email is excellent. It is simple to locate the information. We use it because it came from Microsoft Outlook, and the way Google tags information is very simple and easy to use.

Once you start using the collaborative platform in terms of creating the Excel document, both of us can be looking at the same time, they have a meeting look at the document, you and I can work on it at the same time, which is fantastic.

We have a team of people working on these. In terms of collaboration, and simple ease of use, I think Google is good. Most of our customers are using the basic version.

A lot of the customers use Google Suite. They like the word processing, spreadsheets, database, and presenting tools of Google. Younger customers, newer companies, are more used to full Google. Google Docs, Google Spreadsheet, and so, on as they used it already as a student. They are quite comfortable with the solution and find it user-friendly and easy to navigate - more so than Microsoft, for example.

The ability for multiple users to work in one document is very useful.

The Gmail search tool is excellent. They have the most powerful search tool of all the email managers I work with. They are much, much better than Outlook, for instance. The Outlook search machine is fairly poor actually. If you have a lot of emails and you will do a search, it misses a lot.

They are launching more and more features for mobile, which I understand our customers appreciate.
