Microsoft Exchange Scalability
Regarding the decision of increasing the number of users, it depends on the organization's choice, whether to opt for CapEx or OpEx. Both options involve expenses over the years. Building an in-house Exchange solution requires investing in hardware, storage, connectivity, and administrative resources. Office 365 shifts the budget solely to OpEx as a subscription service.
Scalability is another factor. Starting a new company favors Office 365 due to cost efficiency. As the organization grows, the choice depends on available resources and technical expertise. An internal Exchange setup is feasible with skilled engineers, while Office 365 suits those lacking in-house resources.

The tool is very scalable. It is easy to add additional servers and users. I rate the scalability a nine out of ten. It is very difficult to migrate the server. If a primary Exchange server needs to be moved, it is not very easy. The service has to be shut down completely before it can be moved.
If there were a way to move it in real-time while email is still running, I would give it a ten. However, at the moment, we have to shut down the server and migrate or scale it to bigger capacity servers or the cloud. About 100 people in my organization are using the product. It is extensively used in my organization. As the organization grows, we will increase the usage.
The solution is scalable.

We have 4500 Microsoft Exchange users in our organization. We plan to increase the number of users up to 5000. It is a scalable platform. I rate the scalability a ten out of ten.

As long as you have a good plan, Microsoft Exchange can scale very well. However, the solution does consume a lot of web resources if deployed on physical hardware or on VMware. For example, I have an organization that has 200 users and Microsoft has eaten up more than 100 gigabytes of memory.
If you use Microsoft Hyper-V, the scalability is good.

We are a mid-size company with 350 employees. We haven't experienced any problems with scalability or faced a situation where we need to quickly increase the capacity of the system. The company has grown over the last ten years and has added around 100 employees. It has worked for us in terms of scalability, but I don't know if it works for companies bigger than ours.
We have all kinds of users. There is a mix of different functions that are using the system. Our core business is for operating power plants, so our employees are plant operators. Half of our users are plant operators, and we also have a mix of engineers, accountants, commercial staff, legal department, and HR department.

I think Exchange is somewhat scalable, but not exactly. For example, if we ever need to update our server, we have to create another server and migrate the mailboxes from one server to another. So, it's only somewhat scalable, not fully.
