UiPath Process Mining Valuable Features

Rahul Sharma. - PeerSpot reviewer
Associate at JPMorgan Chase & Co.

The most valuable feature of UiPath Process Mining is the comparison feature. When we got to know that reading OCR was taking time, we altered the lock and uploaded it again by making some adjustments at that stage. If we reduce three to four minutes to five to six seconds on average, what will the graph look like, and what will be the increased overall efficiency? There is a comparison feature that is very, very helpful for people to understand and visualize the impact of a particular task.

For the Instabase solution, we first visualized, made some adjustments for logs, and uploaded it again. Then, the people were able to see that if we did this, the timeline would be met beforehand, and there wouldn't be any delays. Honestly, that was the first thing we did after the security breach related to a login issue. Some other actions were done, but as a solution, this was the first solution that was implemented. It was successfully implemented, and it had a good impact.

The most valuable feature of UiPath Process Mining is the process graph, which gives you a depiction of the process and lets you know where the issues and delays are occurring. The solution's dashboard has a lot of insights. It shows a bubble diagram in the process chart that shows the bottlenecks.

One of the most valuable aspects of using UiPath Process Mining for our ERP, specifically SAP, is the comprehensive overview it provides. This tool allows us to visualize the entire process landscape, highlighting various process variations within the project. It proves beneficial for comparing our initial documentation, outlining steps like purchase requisitions, approvals, and process diagrams, with the actual occurrences in the SAP system. The comparison capability enables us to identify critical variations and discrepancies between our designed processes and real-world system executions. It empowers our team to address these variations, ensuring that our processes align with the intended design. Furthermore, the feature of tagging compliance issues has been instrumental for us. We've defined specific tags to flag instances where, for example, a single individual both requests and approves a purchase. Such deviations from the established processes trigger alerts, allowing us to address these issues promptly. In the course of our ERP project, we identified and documented thirty-eight audit topics. Utilizing UiPath Process Mining, we focused on twenty of these topics, implementing necessary design changes and conditions in the ERP system to prevent their recurrence. This has been crucial in enhancing our system's compliance and preventing undesirable scenarios from reoccurring.

UiPath Process Mining's conformance feature allows us to upload our standard processes and compare how well our actual processes deviate from them. This reveals all of the variants in our processes. UiPath Process Mining also has a feature called tags, which allows us to create our own tags or filters to identify violations in the process. I haven't seen any other process mining tool on the market that does this. Other tools have their own ways of identifying violations, but UiPath's conformance feature with its Tag Analysis Console provides a better user interface. We can immediately click on violations to see all of the instances of those violations in the process.

The attended bots have helped a lot, and we have a leveraged concept of touch-less ERP. We can build a UI or a headless frontend, like a popup, that interacts with a human, and then the robot carries out its function. So the person doesn't need to be trained on any core applications like Oracle ERP or customer applications, which would entail additional screening responsibilities and the normal human tendency to make mistakes.

So we have built a headless frontend that is technology agnostic. And it interacts with the end-user in a user-friendly, straightforward fashion. So it's only four or five steps, whereas it was formerly 30 or 40 steps. And that's how this way of implementing RPA has helped the customer heavily.

One of the reasons we have gone with UiPath is because it was a business decision and because our company subscribes to the UiPath automation suite, which includes RPA, etc. We thought it would be efficient to keep everything on the same platform.

The cost was the other part of it because we compared it to Celonis. We are using UiPath mostly for strategic reasons. It was easy for us to get onboarded with Process Mining rather than setting up a whole new infrastructure for a different tool.

The best feature of UiPath Process Mining, compared to a process discovery tool or mining tool I forgot the name of, is that UiPath Process Mining supplies more details about your current workflow and how it influences the business, including what's the delay or roadblock.

The other tool doesn't give you detailed information, so UiPath Process Mining has a significant advantage.

The features of UiPath that I find most valuable was working with Abbyy scanning. We created some unique ways to work around any document that couldn't be scanned. It was very flexible. Whatever bug that was produced during use test cases, user acceptance testing, was very flexible. We did not find anything that could not be fixed. There was always a workaround or a way to create another process that could be automated.

Flexibility and the adaptability are very good with UiPath.

UiPath is always upgrading and fixing their product.

Amit Pandey. - PeerSpot reviewer

The conformance capability is very good. We can find which processes are compliant or non-compliant.

We like the root cause analysis and we can use it to take a deep dive into the tasks.

The process explorer is quite useful in differentiation and looking at multiple variants. We can drill down with good granularity.

Benchmarking is very good. If I have processes for accounts receivable, I can set the benchmarks and look at the accounts and look at projections based on currency, country, et cetera.

It's great for streamlining processes. You must have an understanding of the domain, for example, if it is in the financial realm. If you do, it is easy. The solution can help you set up processes. You just need to come in with the right insights.

The end-to-end visibility of the process mining dashboard is quite good. There are not many areas that are not visible. We can see everything, and we can customize our KPIs as needed, which helps. It helps us build on a more granular level. If we have a good domain that has a nice process with frequent execution and lots of data created, we can visualize everything and find hidden issues to further refine our processes.

We can turn raw into actionable data. We only need the activity to start our work and analysis. It's very plug-and-play as well. Everything has its own connector. We can connect our tool to SAP or Oracle, et cetera. Data is not obstructed. It can be consumed by the tool or the application itself.

We're able to remove bottlenecks from all kinds of processes. If I have a high level of activity, I can easily automate it. I can send notifications or reminders so that bottlenecks fall away.

Its overall transparency has been great for our end-to-end processes. We can easily visualize everything both for the technical team and business users. We can customize dashboards, for example, for business users. Everyone can see their area easily and understand what is going on at all times.

The solution integrates well with other systems and applications. However, it does depend on the data and where I am grabbing the data. It integrates well with ServiceNow using an API. We can also transform the data.

It empowers employee decision-making. It helps them locate bottlenecks and remediate items. The automation can be done by the business user. They don't need a technical person to come in and make a fix. Everyone is working on streamlining the process.

It's helped free up staff time for other projects. Initially, it's been 15% to 20%. Over time, we're hoping it will be 40%.

It has reduced our total cost of ownership. I'm not sure of the exact number around that, however.

Using the solution with the finance and logistics domains. These are areas that could have a very good impact.

So far, the solution has been effective in helping us automate and streamline. In the case of the financial POC, it helped with sharing and gathering documentation.

The process learning feature inside the wider suite is helpful. It helps with integrating and using, for example, AI features related to process mining. It helps customers expand their digital transformation journey.

The personal learning tools are good.

It's good as a tool to help streamline processes. In one of our POCs, we were able to illustrate to the client how easy the product was to work with. We obtained this goal.

End-to-end visibility is achieved through dashboards. They provide templates. You can personalize those templates and create dashboards with your own views to help maintain visibility. Other products do offer out-of-the-box views that are pretty standard.

UiPath can help remove bottlenecks in a wide range of processes. We can go in and analyze. UiPath can guide us during that process and help us observe issues in an easier way. It has a specific view where you can put features side by side for activity, duration, and frequency to see what can move faster.

The solution has task management capabilities. The product is inside a bigger suite that can do more things. There's task management, for example. There's, of course, process mining analysis. After that, there's the ability to build RPA. The bigger picture would be to have these three factions integrated. However, we've started with process mining.

UiPath has a low code or development.

Also, the Orchestrator module is very effective because it allows me to schedule the jobs in a particular manner without interrupting any processes so that it can automatically handle it.

The UiPath libraries or classes in which the flows are maintained are very effective. UiPath has a very meaningful or powerful parameter-driven approach such as the flows approach. So, you can customize the flows as required, and you can use that for further business processes as well.

A rich use of libraries and reusable assets can be created in UiPath, which is quite significant.

For us, the most important feature of UiPath Process Mining is something called Document Understanding. We have found it to be extremely valuable, given that the current situation we have right now is that it's not just pure automation of manual and repetitive tasks. What we're doing is more along the lines of what you could call "intelligent" automation. Document Understanding plays a great role in this type of process automation because it helps us in automating the reading of documents better and, therefore, helps to automate intelligence for our customers.

UiPath also has a certain dashboard called Insights that comes as a package where you can have analytics about how well the processes have performed. For example, if an automated process that runs at night stops midway for some reason, you can check the analytics to see why it stopped. It's a very beautiful analytics dashboard, too.

I like how they handle process work. It's amazing. It's very customizable, and you can visualize different items.

It's very useful in turning raw data into actionable information.

I was surprised at how many possibilities the solution had in terms of removing bottlenecks from various processes. It can help you with a lot of things.

The solution integrates well with other features. You can create simple RPA bots based on your process filing or task filing.

It's very comfortable to work with in terms of dealing with big data. You can easily visualize it by building charts, graphs, or tables. You can add fields for your data and feed into it. The product makes it easy to quickly modify, transform, and visualize your data.

The solution can possibly help free up employee time. You can easily decide which processes can be simplified and create a bot to handle the work. It helps create automation opportunities. It can free employees from repetitive work. They can then do something more intellectual and valuable.

My shortlist of valuable features includes all the different types of analysis. For example, you can do a root cause analysis. In other words, if you have a process that has many different scenarios, you can identify where the problem is. You can also identify bottlenecks with root cause analysis. You do this by looking at the time that has been spent in specific stages or steps within the processes being performed. So the benefit is identifying the root cause by identifying the time that it takes to release that specific bottleneck. You can then look for ways to remedy the bottleneck.

To exemplify how this works, let's say you have a process that in the regular SLA (Service Level Agreement) takes two days for response time. The process is getting stuck in one step consistently and just that step is taking a day-and-a-half. The rest of your process is only half of a day, but just because there is a problem in one step, you are taking two days to complete the response. Now that the critical step is identified, you can look at taking measures to ease that pain point.

Another great feature is the ability to see processes at a higher level and take in the whole picture. If a process has too many variances — say there are 20 different ways of doing the task — you can identify which process is the one where that happens more often. This will prompt you to focus on that process for any possible ways to automate it and simplify the complexity.

With Salesforce, you can identify individual tasks that are potentially consuming time within each process. You can see what process you want to automate and which task within a process will give you the most bang for your buck.

You can compare performance over time and see if your changes push a bottleneck downstream or what kind of results you're getting with it. Otherwise, you can use it to measure the performance increases you can introduce.

There is room for improvement. It is a helpful tool, I don't want to imply that it's useless. It helps to figure out if there are any steps that can be removed. It also helps to simplify the process and with the standardization of tasks because if you ask two people who are basically doing the same thing, to capture those steps you'll figure out that there is a lot of redundancy improvements in terms of aligning the way of working and maybe reducing some steps or removing them completely.
