Visio Pros and Cons

Visio Pros

Michael Barg
Principal Consultant at Lexington Consulting
Visio has improved my workflow by making it easy to create charts, diagrams, and basic illustrations that I can use in my client reports and proposals. It has saved me a lot of time I would otherwise spend creating visuals for clients by hand.

Visio has improved our organization through an essential collaboration with the other Microsoft applications like SharePoint and Excel. So basically in the earlier days, what used to happen, a majority of the organization captured all the as-is process, the time and motion data in the form of Excel and then they used to create process diagrams using other freeware applications. Collaboration allows easy and convenient sharing with other stakeholders, that is really helpful with Visio.

The ability to visualize a workflow is certainly an advantage over just tracking a process in something like Excel.
It is pretty easy to use if you are looking for this type of solution.

I haven't needed to reach out to technical support the entire time I've used the product. It's very basic and very simple, and therefore I've never run into any issues I haven't been able to deal with personally.

The fact that it's on-premises allows you to get fantastic speed. It's got a faster response rate, it doesn't lag, and it doesn't have any latency when you're working on it.

I like all the features. I go online, and everything pops there. It is in the cloud, and everything is there. Even if there is a crash, everything is still there. I don't lose anything. That's what is the most valuable and likable. It is really a professional solution for designing. The designs look really nice in the PDF.

Visio Cons

There could be better integration between Visio and Word, especially when it comes to importing graphics from the one to the other.

The one particular thing which I would like to see improved is in comparison to other products in the market, and is still lacking in Visio, is publishing on a web application. For example, there is a freeware application business process modeling tool, Bizagi.
I would like to see included in the next release is the implementation of web publishing.

If you look at ARIS, for example, or Signavio, the flowchart combines all the details and with the click of a button I can create a process manager. That would be something that Visio could add. It would cut my workload in half.

They have to improve shapes. It has good shapes, but it certainly can have more shapes. There are no U shapes. It also requires more customizations. There are a lot of icons, but they can be modernized more. These icons have to be more customizable so that we are able to change the color and things like that. It should also have more integration so that we can use it with other tools on the web. We don't use Microsoft Teams. We use Discord, which is more for gamers. It would be helpful if Visio is integrated with Discord. I can then show my work to my team. We use Visio, and it is a must-have solution for us, but being a startup, we don't have the money to use the whole Microsoft system. Some day we will use Office. For companies like us, there should be connectors for other software. We should be able to use a connector with the software that we are using or with the new generation solutions. Connectors will make it very easy to transfer data.

It would be nice if there is a database behind it. We have looked into this functionality, but all of the other solutions that have a database are very locked down, and you have to use them their way. You can't define your own stuff. For example, we have a system X, and I want to define system X myself and have it available. If I am ever going to make a change to system X, I want to pull up all the drawings that are associated with system X. I want to be able to search and pull all those drawings. Visio should have the ability to capture metrics associated with each step in the process. For example, based on a specific time, I should be able to link the data to a spreadsheet, which is kind of like the data analysis on the process.
